Joint Portal Attendees will learn about new changes and enhancements in secure, web-based communication with patients including additional administrative setting preferences and easier patient registration. The session will demonstrate the increased efficiency of clinic workflow with real time documentation New Patient Registration Information Accessed by patient Features provided through Portal Patient Migration Portal Administration
New Patient Registration • Enter Demographics, include email address • Patient Portal Tab (Portal Access/Resend portal registration e-mail) registers patient • Patient receives registration link on the registered email id • Patient selects the registration link and proceeds with creating account • Patient can create desired user id as well as password • Select Facility from list of other Providers on e-MDs
Information Accessed by patient • Demographic • Health Summary • Visit/Result Details • Alerts/Recommendations from a Clinic • View list of upcoming/past appointments for the patient • Messages sent from the Clinic/Providers • List of Available providers for an Organization
new options in DocMan’ssign off options Inside Portal, there will be new tabs (aka containers) named Documents and Visit Notes so that when a document is pushed to the Portal, it will go in the Documents tab, and when a Visit Summary is pushed to the Portal, it will go into the Visit Notes tab.
Features provided through Portal • Schedule New appointments • Confirm/Reschedule/Cancel Appointments • Compose/Reply messages to be sent to Providers/Clinic • View Clinical Results posted by the clinic • Export Health Summary / Visit Summary • Request changes to the following types of Patient details: Health Summary Information, Personal Information, Contact Information, Addition/Changes of Insurance details
Patient Migration • Portal Admin logs in and navigates to “Mass Email” tab • Sends the Migration link to all Patients • All old portal registered patients of the organization receive the migration link • Patient is given link to New Joint Portal when they access old Portal link and can create new account themselves after entering old Portal credentials • System shows existing demographic details in the Database, reviews & updates • The system performs matching logic to determine duplicate patients • The system confirms a duplicate, then ask the user to enter the existing portal credentials • Patients enter existing portal credentials • Migration Complete: Confirmation message is shown and a link to new portal is sent to the patient’s email id • Patient enters new Portal credentials and logs in to Portal
Portal Administration: More Options and More Straightforward • Appearance: defines the look and feel of a facility • Message & Scheduling: Appointment Scheduling restrictions- None or Primary Provider; Appointment Preference- No Web Appointments, All Web Appointments, Wait List, Direct Scheduling; Add Free Text Requests to Wait List; “Bad Debt” Patient Type (Demographics); Future Appts Time Frame in months; Minimum lead time in hours; Patient can only schedule one apt every x days; Reschedule option disabled x days before appt; Cancel option disabled x days before; Send confirmation request x days before; Maximum number of no shows (1-99); in a period of x months (1-12); Appt confirmation message • Patients: search by last name, first name, birthdate; Send Update (resend registration), Portal access, Messaging, Schedule access • Staff Manager: Staff Message Delegation (can only delegate one) ; Portal Message Access (must be done first)- Message Options, Forward messages • Mass Email: allows broadcast of messages to all/selected patients • Migration Log: retrieves list of Patients and their migration status to the new Portal • Added Security setting for Portal administration • “cadmin” user name can be stipulated on implementation
