  3. Seminar Objectives Identify best practices Develop a plan for project Create measurable goals Write a successful grant application Determine funding needs Evaluations and reporting

  5. Qualification Requirements • Attendance at grant management seminar • Agree to club memorandum of understanding (MOU) • Submit signed MOU to district

  6. Grant Management • Ensures that projects: • Have appropriate financial control • Utilize paperless technology • Meet the needs of the beneficiaries • Fulfill their objectives • Safeguard funds

  7. $240,000 (Dist 6270 typical) $ Earnings used for administrative costs 2010-11 2011-12 2013-14 $120,000 $120,000 50% to District Designated Fund (DDF) 50% to World Fund Matching Funds Packaged Grants Peace Fellows Polio+ $30,000 $90,000 Up to ½ to District Grants Global Grants Scholarships VTT, GSE, etc. 2012-13

  8. Stewardship • Stewardship is responsible management including: • Rotarian supervision • Financial records review • Oversight of funds • Reporting irregularities • Timely submission of reports

  9. Terms of Qualification & Maintaining Qualification • Valid for one year, club committee • Club responsibility for grant funds • Disclose conflicts of interest • Cooperate with all audits • Use grant funds properly, stewardship • Implement & follow the club MOU terms

  10. Conflict of Interest • Exists when a Rotarian benefits financially or personally from a grant • Rotarian benefits directly or indirectly (an associate of the Rotarian benefits)

  11. Successful Grant Projects Identified community needs based on an assessment Secure partners, communicate frequently with all partners Implementation plan developed with a realistic budget Sustainable and Measurable Proper stewardship of funds

  12. Sustainable Projects • Giving a community the skills and knowledge to maintain project outcomes for the long term, after grant funds have been expended.

  13. Financial Management Plan • Bank account for funds, no co-mingling of accounts • Distribution of funds • Need a paper trail, • checks, charge cards, • receipts to track funds • Detailed accounting

  14. Document Retention • Provide access for audit • Retain for a minimum of five years • Make copies • Keep worksheets • Planned bank • signature transfer • More on: rotary.org

  20. District Grants • Formerly known as District Simplified Grants • Used to fund smaller, short-term activities that address needs in local community or in worldwide communities. • Grant must meet the mission of TRF • Club submits proposal to District • District requests funding as block grant

  21. District Grant Requirements and Reports • Funds will be distributed by District, • 50% on approval of Block Grant, & 50% on report of completion • Progress reports are due to District upon completion or within 12 months of funding

  23. Global Grants • Application process online • Meet goals of area of focus • Be sustainable • Involve Rotary clubs in two districts • Minimum budget of US$30,000 • District confirms club is qualified

  24. Global Grant Financing • DDF matched 100% with World Fund • Rotarian cash contributions matched 50% with World Fund • Non-Rotarian cash contributions • Funds cannot come from other grants • Contributions credited to donor(s)

  26. Global Grant Reports: Frequency • Progress reports • Within 12 months of first payment • Every 12 months through the life of the grant • Final report within 2 months of completion

Packaged Grants • Packaged Grants are developed by The Rotary Foundation in cooperation with its strategic partners. • Support large international activities with sustainable high-impact outcomes in one or more of the six areas of focus and have a long-term impact. • Clubs and districts can either create their own activities or sponsorpackagedglobal grants that are RI developed.
