LCS: Handling Regulatory Inspections Do • Be prepared. Preparation provides confidence – inspectors can see it. Don’t let them see you sweat. • Be cordial and polite • Clarify what they want and narrow the request if you can (e.g. instead of giving them a year’s worth of records, give them a month. Or ask “is there a specific timeframe you would like to see?” • Use the risk management binder which is located in the school. • Be honest but always put your best foot forward. Don’t showcase or leave the door open for them to see problems. • Give them your full attention • Take meticulous notes including a detailed “download” once the inspector leaves. Include any potential findings, commitments, comments, and the general “tone” of the inspection. • Let the risk mgmt team know • Send the inspection report to the risk mgmt team Don’t • Let your guard down • Speculate • Say too much (best advice: think about your answer, give your answer, stop talking, smile) • Make commitments (note: If there are easy “see it and fix it” items go ahead and do those but don’t make commitments about big things or specific approaches) • Give them more than they ask for
