Retention Alert Implementation Verlyn Mol Baldwin-Wallace College vmol@bw.edu August, 2009
Baldwin-Wallace Info • Liberal Arts college by Cleveland, Ohio • 2950 Undergrad day students • 1300 Adult and Graduate students
Reasons for Implementation • Tracking cases for our student intervention program – Because We Care. Was being done with spreadsheets, MS-Word documents, e-mail, etc. • Creating cases for student retention items such as not registered for next semester, low mid-term grades, no FASFA received, etc.
Implementation Timeline • Installed & setup software Summer 2008. Most of the initial setup was done as part of Datatel consulting services packaged with the software, requiring minimal IT resources. • Started entering individual cases for BWC Fall 2008. • Customizations done throughout fall and spring semesters. • First batch cases created Spring 2009. • Currently working with Datatel on enhancements to help with administration, performance, and usability issues.
Setup – Batch Case Assignment Subr determines who is assigned to work the case.
Batch Assignment by Subroutine Subr determines what students are selected for a case. We also included code for sending e-mails.
Wish List • Better tools for case management. • Administrator access. • Manual advisor assignment without a role. • Performance on My To Do list (coming in August?). • More details in reminders . (just released – SU45927.93-1805*05)
