In PeopleAdmin go to Track 2 positions • Use the search bar to find the job you would like to update Updating Applicant Statuses
Click on the “Applicants” tab • If you want to filter the applicants by workflow state click on the “More search options link” Selecting Applicants
Select the workflow state(s) you’d like to view. • When you click search all applicants in the selected workflow states will be listed. Filter by Workflow State
After you’ve sorted you can click the box next to “Last name” to select all applicants listed. • To select specific applicants you’d like to move click on the checkbox to the left of their names. Selecting Applicants
Click on the “Actions” button to the right of the applicants’ names • In the drop down menu select“Move in workflow” Moving in Workflow
You can make the same change for all selected individuals by choosing the workflow state next to “Change for all applicants” • To choose different states for each applicant choose the workflow state next to each of their names. • For some workflow states you will have to select a reason Selecting New State
Status of Applicant Workflow Option Selected “Not Interviewed Not Hired” Will receive an automated email – does not include the reason “Interviewed/Not Hired” Applicants do not receive an automated email and need to be notified “Finalist – Send to HR • Applicants who do not meet minimum qualifications • Applicants selected for a campus interview but not hired • Finalist Selected Actions Taken
To start the hiring process of your selected applicant select “Finalist-Send to Human Resources” • Once HR has reviewed the finalist they will change the status of the applicant to “Approved to Make Offer” and Initiate a background check for the applicant. • This eliminates the need for the intent to hire form! Hire Selected Applicant
If you interview the applicant but are not interested in hiring them you would select “Interviewed – Not Hired”. • The applicant will need to be notified that they did not receive the position. They will not be automatically notified. Interviewed/Not Hired
If you are not interested in interviewing or hiring an applicant select “Not Interviewed-Not Hired” • Selecting multiple applicants and choosing the same action for all applicants is often helpful in this stage. • This will automatically generate an email that will be sent to the applicant letting them know that they were not chosen for the position Not Interviewed/Not Hired
When the background check is initiated the applicant will receive an email from HireRight asking them to complete & verify their information. • It may take several business days for the background check to be completed through HireRight. • An email will be sent from seo@cwu.edu to the Supervisor when the individual has successfully completed their background check. • Once the supervisor has received notification of the completed of the background check they will need to complete the upload spreadsheet and send to HR as soon as possible! Once HR has approved the department to make an offer to the applicant it is up to the department approver to contact the applicant and offer them the position. • If offer is accepted the applicant’s workflow state needs to be changed to offer accepted by the department approver. • Make sure to save your changes! Offer Accepted
HR will move the applicant to “Hired” after the applicant has accepted the position. • The new employee will receive an email requesting them to complete a federal I-9 form online by the first day of work. This is generated after the upload spreadsheet has been processed. • They will then come into Human Resources in Bouillon room 140 to verify their I-9 with acceptable forms of identification by the third day of work. • A list of acceptable types of ID will be provided in the email they receive requesting they complete the I-9. Applicant Hired!
