Examination materials • All examination materials will be on a cart in the examination room • Some exams have additional materials • Business and Management has a case study, formula sheet, and discount tables (HL only) • Chemistry has a data booklet • Students must bring prescribed calculators
The Examination Schedule • Must adhere to published schedule • Candidates may have a break between papers. During the break: • Pick up Paper 1 • Place new answer sheets on desks • Supervise students • Maintain security of the exam papers
Testing Room Setup • Students will be assigned seats • Lists will be posted outside the cafeteria the day of the exam • Students with special testing accommodations will sit in one area of the room • Students with the word processor accommodation will be seated near outlets • Students with extra time will have their ending time at their desks for invigilators to see
Unannounced Inspections • Could be conducted during exam sessions • Need to monitor noise in hallway during exams.
Preparation for Invigilation • About a 1 :25 ratio of invigilators to candidates • Scheduled through SignUpGenius
Preparation of Examination Room/ Conduct of Examinations • Post start and finish times; reading time is 5 minutes • Display sign, “Examination in Progress, Silence Please” • No confidential examination material (such as a copy of an examination) may be removed from the room during the test. • Students will adhere to the Conduct of Examinations Document (distributed before the testing window) • Students scheduled for two tests at the same time will be required to stay in the testing room until all exams are administered.
Seating Arrangements • Seating plans will be posted outside the testing room so students know their seat assignments • Students must face the same direction and must be 1.5 meters apart. • Desks should not be moved.
Before Candidates Arrive • When more than one exam room is used, a person is designated to begin and end the exam (this is usually a person who has invigilated in a previous year) • At least one invigilator should be assigned to handle hall noise during class changes • Exam materials (but not exams) should be placed on desks before the students arrive
Arrival of Candidates • All belongings are placed at the back of the room (or in a locked area out of the room). Cell phones must be off and placed in a box . • Water in a clear bottle is allowed • Pen only for tests: pencil may only be used for drawings, charts, and graphs.
Arrival of Candidates Candidates may take to their desk/table the following items only: • general stationery (for example, pens, pencils, an eraser, geometry instruments and a ruler) • a translating dictionary for non-language examinations • other materials specified by the IB as required for a particular examination (for example, an electronic calculator).
Arrival of Candidates • The use of pencil is permitted for drawing graphs or diagrams. Colored pencils are not permitted. • Candidates are not permitted to use correcting fluid/pens. The candidate must neatly cross out any mistakes. Gel pens/highlighting pens can only be used to highlight questions or other information on an examination paper; they must not be used in conjunction with a candidate’s answer to any question.
Arrival of Candidates • Candidates must write their answers in either blue or black ink (except for multiple choice examination papers, when pencil is used). • Candidates must not share stationery, dictionaries, calculators or other material required for an examination. • If unauthorized material is found in a candidate’s possession, they are likely to be held in breach of regulations, regardless of whether they intended to use the material during the examination.
Arrival of Candidates • Personal belongings not required for the examination must be removed from candidates. However, articles that a candidate may consider a “lucky charm” or similar may be placed on a candidate’s desk/table at the discretion of the coordinator. The article must be thoroughly inspected to ensure that it does not provide unauthorized material. • The invigilator must be particularly vigilant for any unauthorized electronic devices and students must be instructed to switch off a watch alarm if set to go off during the examination. A personal clock, other than a wristwatch, is not permitted.
Arrival of Candidates • At the discretion of the coordinator, drinking water is permitted. Food, refreshments, and drinks other than water are only permitted for those candidates with a medical condition, such as diabetes.
Starting the Examination • Students must be silent during the testing session • Students will only use testing booklets during examinations. • Sealed packets of exams are opened in the room with the students • Testing scripts are in section 16 of the handbook (Note that the scripts are different for exams that use stationery, write-in-booklet exams, and multiple choice exams) • Provide details of any erratum notices • Allow 5 minutes reading time before the start of the test (except for multiple choice tests) • Post start and finish times
During the Examination • Invigilators must give all their attention to supervising the exam. • If a student needs to use the restroom in an emergency, the beginning and end time of the absence is recorded. • No one other than the invigilators and school administrators may enter a testing room.
Late Arrivals/Early Departures • Students may enter the room within the first few minutes of the starting time. They may have the entire time to take the test. • If a student reports to the test more than ten minutes after the starting time, please call Marie Turner. If a student arrives within 60 minutes with an acceptable reason, he/she may be allowed to take the test. • Students may not leave for the duration of the exam. • In the case of a fire alarm, exit the building and advise students to be silent.
Ending the Examination • Ask students to place materials on their desks to be collected. Everything must be collected before the candidate leaves the room • The students should complete the coversheet (it is their responsibility to make sure it is properly completed) and attach all pages with string tags • Cover sheet • Examination book (if students write in the book) • Answer booklets • Answer booklets used as scratch paper • Graph paper
