Education Verification Process • Everyone in the selection process must be aware of minimum educational requirements • Department reminds interviewees, if selected for hire, an official diploma/transcript will be required • Department attaches the official transcript to Hiring Proposal for the selected candidate • Inability to get education verification will delay the hire
Responsibility • The hiring department is responsible for verifying selected candidate meets minimum qualifications • Summary of Hire memo states, “I certify that (applicant’s name) meets minimum qualifications as outlined in the Position Description.” • Hiring department must review diploma or transcripts
Verifying Education on Official Transcripts • Criteria to verify: • University/College name • Candidate’s name • Look for the words “Degree Awarded” • Verify credit hours necessary to meet minimums • Level of education and discipline • Date awarded • Must have official seal
New Verification Option • HR can provide education verification through a third party - UNM can verify degree and credit hours - Student Clearinghouse can verify degree only - HireRight can verify High School diploma • A $10 processing fee will be charged to the department per verification
Educational Documents Accepted / Verification • For Positions requiring a HS Diploma or GED • HS Diploma or GED (copy) • Unofficial college transcript (copy) • Official college transcript (copy) • Department should attach documents to Hiring Proposal prior to submitting to HR • HireRight (third party) can provide verification of HS Diploma • Student Clearinghouse or UNM (third party) can provide verification of degree awarded

Benefits of the Education Verification Option • Ability to verify education in a timely manner • Eliminate confidential information floating between departments • Instant notification from UNM / Student Clearinghouse
Tips to Consider • This verification option is when candidates are unable to obtain proof of education quickly • Degree awarded prior to 1980 will not be instantaneous • University / College must be in Student Clearinghouse’s database • $10 processing fee for each transaction • Give form to candidate AFTER tentative offer • Fax or attach to HP-- DO NOT e-mail the form
