Data Management • Rule 1 – “data will soon fill all available space” • Rule 2 – “data will quickly fill all available space • Rule 3 – See Rule number 1 • Failure to follow rules may lead to backup and system failures. • Data needs to be “culled” from time to time. • Encourage staff to clean their own folders. • This removes load from backup and restore processes • Culled data can be archived to CD/DVD/External Drive/other

Data management – One solution • Within Data Share, create a year folder • EG “2008” • Within this folder create all necessary sub folders. • All files used in 2008 are to be stored within this folder. • In 2009: • Create a new folder – “2009”, make 2008 read only • Create all necessary subfolders within this folder • If a file is used from the 2008 folder, copy it to the 2009 folder. • At end of 2009, archive 2008 folder to CD/DVD/Tape/other

  7. User Management • At start of each year: • Delete users who have left. • Move deleted users’ Homefolders to “deletedUsers” • The DeletedUsers folder can then be archived to CD/DVD/External HDD • Archive old data to CD/DVD/External HDD

  8. Server Management - Backup • Backup ensures a copy of essential files in case of server failure or User Error. • Regular backups should be taken of: • All user data – Nightly/weekly • Active Directory – Nightly/weekly • System areas – Term • Whole Server - Year

  11. External Hard drives • Require 3 External USB drives (Minimum) • Need to be matching Drives • All need to be assigned same drive letter • Swap drive each week and take home. • + Cost effective • + Fast Backup and restore • + Able to use Windows Explorer to recover files

  12. Network Attached Storage • Network hard drive in another building • + Fast to backup and restore • + Able to use Windows Explorer to recover files. • + Many NAS support RAID 1 • - Can be Expensive • - not offsite

Backup Tips • Set backup for late night when users are not on system • Encourage users to log out (and shut down) • Verify backups • Check any backup logs. • Test restore regularly • Have off-site backup • You never have too much backup • Users should be encouraged to have their own backups (USB drive etc) • Don't have critical data on server only
