Pre-Survey Reminders School Preparation: • Distribute Parent- and Teacher Letters • Receive declination forms • Receive Tripod survey school boxes • Report inaccuracies immediately to Tripod Helpdesk: tripodhelp@camb-ed-us.com or call toll free at 855-2-TRIPOD (855-287-4763) • Prepare school and staff to administer surveys • Grades K-2, schedule proctors (other than the classroom teachers) to read surveys aloud in groups of 5-10 students
Pre-Survey Reminders Additional Reminders: • Minimum sample size for teachers to receive reports is 5 students and 3 minimum favorable responses per survey item • Students w/ IEPs taking HSA-Alt DO NOT take the survey • Students w/ IEPs taking HSA must have their testing accommodations (if applicable) • NEP and LEP students that take the HSA may have the survey proctored in either English or Hawaiian if this is the decision of the survey coordinator and school administration with teacher input • Hope for the best...plan for the worst - have a backup plan ready!
Administration Reminders Survey Administration: • Administer the surveys on the selected date and at the selected time within the survey window • Ensure students with declinations do not complete the survey – they should have another silent activity • Ensure that teachers are following survey instructions and scripts for administration • Report breach(es) in protocol during administration if observed or reported (SBT reports to EESEOand EESEO sends report to Tripod_Student_Survey@notes.k12.hi.us)
Administration FAQs • The survey is untimed, and absent students do not need to make-up the survey • Teachers/survey administrators can define words in the survey but not interpret questions • It is OK to move survey administration dates during the survey window if necessary and agreed-upon by administrator and survey coordinator • Blue or black ballpoint pen required for completing the survey • Students will be administered the survey if declination letters are returned without boxes checked • Co-taught classes
What Else?? • If a teacher was rostered for more than one class and only one class will be administered the survey, how do we select the class to be surveyed and what do we do with the packets that will not be administered? • One of our teachers was not rostered, can students be given the extra surveys from other packets to complete for her? • What do I do with the declination forms that I am receiving? Do I need to log them in somewhere?
What Else?? • What do I do with the Parent/Guardian letters that are being returned with the boxes not checked? • Are students only allowed accommodation that are listed on their IEPs? • What if they don't have IEPs or MPs but may need assistance to complete the survey? • Student teachers? • Elective or IRA classes?
Post-Administration • Collect all materials (paper) • All surveys should be in individually sealed envelopes • All class packs should be included in the return shipment at one time • Contact FedEx for pickup for paper only • For online pouch materials to SAO • Start early. Do not procrastinate! • Results delivered starting on 4/25
