How to Use Advance Routing a Packet How to Use AdvanceRouting a Packet(paper packets)
About the training modules • The PowerPoint training modules begin automatically when opened • There is a narration, so turn on sound • You can use the arrow keys to move forward or backward if too fast or slow • If you move forward using the arrow key, you may miss some narrative
In this module… • Assumptions • Why use Advance to “Route” packets? • How to “route” packets • Change the location on the Manage packet page • The Overview page • Department APAs • Dean’s Office APAs • VPAA APAs • Things to consider
Assumptions • You understand the Appointment and Advancement business process • You have completed the following modules and have a basic understanding of the Advance system: • Overview • APA • Create & Manage Packets
Why require Advance? • Packet process transparency • For the Candidate • For Academic Personnel Analysts • Campus reporting • Packets: how many, what kind, how long at any review point • Approval metrics • Position the campus for fully electronic 2012 packet process beginning in 2011
The Routing Process • “Route” a packet by changing its location, then send the paper packet to the next level • When you receive a paper packet, look it up in Advance • If it’s not on your Overview page, maybe it has not been routed in Advance (maybe it has not been created in Advance) • Candidates can see the location of their packet
The Overview page To get to the Manage Packet page, click on the Candidate Mgmt tab and search, or find the packet on the Overview and click the location.
The Manage Packet page Get to Manage Packet from the Packet page or from the Overview page. Use Manage Packet to change the packet location.
The Overview page The Department APA sees all of the packets for his/her department…
The Overview page The Dean’s Office APA only sees packets with a Dean’s Office location…
The Overview page The VPAA APA only sees packets with a VPAA or a CAP location…
Things to consider • When you receive a paper packet, verify that it is in Advance. If not, check with the APA who sent the paper packet and ask that it be entered into Advance.
Things to consider • Routing within Advance will give us information about • Number of packets done each year • Types of packets done each year • Bottlenecks in the review/approval process • Do not route a packet that has been approved (covered in the Decision & Status module)
The Routing module… Congratulations! You have completed the Routing module and should now be able to move a packet to a new location. Send questions or comments to AdvanceProject@ucsf.edu
