THE TESTING SCHEDULE • Know when we are testing and be aware of schedule changes! TESTING WINDOW: Year-Long Courses: May 23 – May 30 Semester Courses: June 2 – June 10
TEACHER-MADE EXAMS In addition to NC Final Exams, World Language Exams, and EOCs, some teachers will be administering teacher-made exams. (A-Day/B-Day teacher-made exams are from May 23 - 30) KEY POINTS: Make good use of the allotted time: We will be in one period for almost 5 hours beginning June 2nd! Use extra time in a variety of ways: Play games to review before testing Allow review in partners/groups/stations before testing Last minute one-on-one instruction before testing Teacher/classroom surveys to improve for next year THINGS TO DO: Work with your team to make an appropriate assessment (and rubric, if applicable). Save your teacher-made test in a variety of ways in case it is needed for verification over the summer: Keep student’s graded tests Save your test electronically Send your test to your department chair and team administrator or academic coach • End-of-Course, World Language, and NC Final Exams will count as 25% of a student’s final grade. These courses SHOULD NOT also have teacher-made exams this year! • In other words, only one final exam per course.

PURPOSE OF THE NORTH CAROLINA FINAL EXAMS North Carolina’s Teacher Evaluation Process Standard 6 to assess teacher performance Standard 8 to assess administrator performance 25% of the student’s final grade in high school courses WE WANT 95% of eligible students to test

Expect an email from Ms. Raynor with details. Unlike with Teacher-Made Exams, teachers are not permitted to review before testing.

SPECIAL EOC CONSIDERATIONS… English II EOC Five lines are provided for each constructed response If students record their answer in the book or on blank paper and NOT on the answer sheet, the student can transfer answers but he/she cannot get beyond the maximum amount of time allowed. Math I EOC Consists of calculator inactive and active sections Inactive is administered first When they are done with inactive, students should raise their hands. Test administrator will paper clip books, and students are not allowed to go back. Provide student with clean graph/white paper and a calculator.

BEFORE TESTING BEGINS: CHECK-OUT PROCEDURES MAY 23 – JUNE 10 Media Center 6:30—7:00 a.m. We must conduct brief training sessions the mornings of testing! • EVERYONE will be needed for Check-Out/In, including people in Late-Starting Rooms. Please report to the Media Center by 6:45 a.m. • TEST ADMINISTRATORS AND COUNSELORS will count and record number of materials at Check Out.
BEFORE TESTING BEGINS: AFTER CHECK-OUT • Follow the Checklistthat will be in your bin. It will include ALL NECESSARY STEPS TO TAKE FOR A SUCCESSFUL TEST ADMINISTRATION. • Report to your testing location before students arrive. • Make sure the walls are clear of content information. • Proctors should arrive to rooms by 7:00 a.m. to help test administrators prepare materials and get the room ready. • If your proctor has not arrived, please call the Media Center #333 (white phone).
If a student accepts his/her accommodations AND THEY GET SEPARATE SETTING, READ ALOUD, OR MULTIPLE TEST SESSIONS….have your proctor or hall monitor escort the student with the test materials to the accommodations locations listed on the testing plan. If this is a math course, send a calculator marked with your name CHECK THE MANILA FOLDER… ACCOMMODATION PROCEDURES • Check for Review of Accommodations Forms in your bins, which will let you know which students are eligible for testing accommodations. If you see these forms, use this as a legend: • SS (separate setting) • RA (read aloud) • ET (extended time) • MTS (multiple test sessions) • MIB (mark in book, which means this student will not receive an answer sheet, just a test book to write in) • Dict (dictionary)
ACCOMMODATION PROCEDURES • Before beginning the test session, discreetly ask these students if they would like to use their testing accommodations for today’s test. Students are able to accept or refuse. • If a student refuses his/her accommodations…no problem! You and the student must complete a Refusal of Accommodations Form. This form is in your bin. You and the student must sign! The student can then test with everyone else. • If a student accepts his/her accommodations AND THEY GET EXTENDED TIME, DICTIONARY, OR MARK IN BOOK....that student can use that accommodation within your classroom. You will complete a Review of Accommodations Form once testing begins (directions on checklist).
ACCOMMODATION PROCEDURES • If a student accepts his/her accommodations AND THEY GET SEPARATE SETTING, READ ALOUD, OR MULTIPLE TEST SESSIONS….have your proctor or hall monitor escort the student with the test materials to the correct accommodations location. If it is a math class, send a calculator marked with your name. A list of accommodation sites will be available.
LATE ROOM PROCEDURES • Late students are allowed in the room until students in the classroom begin the actual test. You can catch tardy students up on directions, so let them enter if you’re still reading instructions. • Once students begin the test, no late students are allowed. Send late students to the Media Center with the hall monitor or a member of security (please send his/her test materials), and we will either start a late room OR send the student to a holding space if there are no people available to administer.
DURING TESTING: Testing Irregularities and Misadministrations HOW DO YOU REPORT ISSUES??
AFTER TESTING Students are allowed to read novels or other non-textbooks while other students continue to work. Their test materials must be collected if they are done testing. Be sure to make notes on your roster, such as: • Who was sent to an accommodation site • Who was present but asleep during testing • Who came to testing late • Who caused an irregularity or misadministration • Follow the Checklist in your bin to be sure you have collected all materials. • Test Administrators are to return the bin of materials to the Media Center for counting. • Proctors will remain in the test rooms.
It is everyone’s duty to follow the NC TESTING CODE OF ETHICS. • Read the NC Testing Code of Ethics (and Proctor’s Guide) • Maintain Test Security at All Times • Do not copy materials or be alone with test materials • Help Ensure the Physical Conditions in the Room are Appropriate for Testing • Help with distractions, seating, and enforcing rules • Make Sure Materials are Appropriately Distributed • Ensure Appropriate Test Admin Procedures are Followed • Assist Students with Emergencies & Breaks • Monitor Students • Follow Appropriate Procedures for Providing Accommodations • Proctors will escort students who receive accommodations to their proper location using the roster in the bin. Do not take any test materials. • Report All Testing Irregularities • Maintain Student Confidentiality The entire NC Testing Code of Ethics is online!
TEST SECURITY PROCEDURES • All school staff members must be trained if they will: • Sign out/in test materials • Sort test materials • Serve as test administrators, proctors, or hall monitors • Enter the test session in case of emergency • Accurately count and record the number of testing materials. • When not using materials, put them in a secure area. • Do not copy, reproduce, or paraphrase test materials. • Teachers CANNOT provide instruction related to the content being tested on test day. • Do not discuss items from the test with students or colleagues. • Take down wall and hallway displays. • Two people must be present in the testing rooms at all times. • Do not clarify questions, provide synonyms, or indicate answers to students • Provide a positive test-taking culture • Students cannot transport their own materials!
UNETHICAL TESTING PRACTICES Encouraging students to be absent during testing Encouraging students not to do their best Using secure test items for instruction Changing student responses at any time Modifying student records Reclassifying students only to avoid testing them Failing to provide needed accommodations during testing Paraphrasing test directions Not testing all eligible students Not reporting all testing violations
TEST ADMINISTRATORS’ DUTIES • Set an example by turning off personal cell phones and electronic devices. Use a white envelope as a show of good faith! • Account for test materials. • Properly distribute test materials. • Conduct unbiased test administration. • Walk the room frequently and quietly. • Avoid distracting behaviors. • Read from Assessment Guide only. • Do not indicate answers to students or help students. • For breaks, make sure students’ test materials are secured. • Report irregularities immediately.
PROCTORS’ DUTIES • Read The Proctor’s Guide (online). • Help Test Administrator prepare the room for testing. • Help Test Administrator monitor the room. • Check to be sure answer sheets match test books. • Check for prohibited items, cheating, sleeping, or other issues during testing. • Notify the Hall Monitor in the event of a question or problem. • Monitor students and distribute electronic devices after testing is done so that the Test Administrator can deliver materials to Ms. Raynor in the Media Center. Volunteer proctors should sign up at www.cmsvolunteers.com!
HALL MONITORS’ DUTIES • Watch/escort students to restroom – one student from a room at a time. • Make sure hallways are quiet at all times. • Contact Ms. Raynor in the event of a question or problem. • Take the place of a Test Administrator or Proctor if he/she needs a restroom break. • Use the Testing Room Checklist to make sure we have proper testing environments. • Collect bins after testing is done (if there is no proctor in the room) and bring them back to Ms. Raynor in the Media Center. Volunteer hall monitors should sign up at www.cmsvolunteers.com!
PROHIBITED ITEMS • Electronic devices policy: Any student with a cell phone/electronic device during testing time must be dismissed from testing and a misadministration declared. • WE ARE USING WHITE ENVELOPES TO COLLECT ELECTRONIC DEVICES AS STUDENTS ENTER THE CLASSROOM!!! PROCTORS…HELP COLLECT AND LABEL DEVICES BEFORE STUDENTS SIT DOWN. • Personal belongings: Students’ personal belongings must be placed under the seats or across the room, and students must not be permitted to access them at any during testing, including breaks. • Textbooks, reference books, thesauruses… • Food and drink…not even the testing staff
SANCTIONS Employee Letter If a misadministration is declared and is the fault of a school staff member Goes to Office of Accountability and Employee Relations File Civil Action against person(s) responsible for the violation Criminal prosecution Suspension or revoking of professional license Dismissal
NEXT STEPS Stay on top of emails about testing. Know what is happening at your school! Let’s test with urgency! These weeks affect your students’ futures; our mistakes can be detrimental for others. Keep test anxiety low! Be on time, be prepared, and be knowledgeable.
