Project Background 2006 Mandate from the Provost: “Develop Ideal Undergraduate Admissions Evaluation Process” • Eliminate Paper from the process • Ease of Use • Configurable • Increase Efficiency • Provide better Service
Undergrad Admissions Project Success • Eliminate Paper from the process – moved their entire Freshman Application review process from paper-based to on-line during the Fall 2006 term, and removed over 375,000 pages of paper in the first year. • Ease of Use – rolled the on-line process out to the entire Admissions staff just 3 weeks into the pilot. Staff found the process very easy to use. • Configurable – pages are changeable to support different units with different rules. • Provide better Service – able to render admissions decisions faster, benefitting applicants
New Project 2008 Mandate from Dean of Rackham: “Develop On-line Evaluation process for our Rackham Departments” • Eliminate Paper from the process • Ease of Use • Configurable • Increase Efficiency • Provide better Service

Evaluation Summary Comments Customizable call out page(s) for capturing specific comments Supports complex review process
Evaluation Summary Comments Admitting unit can define ‘comment’ name Evaluator can enter in specific comment or use a predefined comment Predefined comments can be set up
Evaluation Summary Comments Pages can be set up to make process relevant for specific offices and processes (i.e. specific ratings can be added)
Pulling all comments together into “My Comments” Evaluators can review remarks before entering a final overall comment and rating the application
Pulling all comments together into “My Comments” Overall comment and rating is entered and the evaluation status is marked Final
Viewing all Evaluator comments Process supports blind review. Key staff can view ALL comments for an application on the All Comments tab if security is granted. Or, all comments can be viewed by entire committee.
Using On-Line Evaluations in MPathways • The data already exists in the system today; the on-line pages simply pull-together and present the application data in a logical manner to support evaluation • Images can be directly accessed from the on-line pages; relevant image ‘types’ can be found • Applications can be reviewed by everyone all at once, or routed to reviewers individually
Maintaining On-Line Evaluations in MPathways • Student Services staff need to assign applications to faculty once the application is deemed complete; simple assignment process • Data and Images do not need to be ‘ported’ to side system – everything is real-time • Minimal one-time setup required to ‘turn this on’ for a unit • MAIS and Rackham provide on-going consulting to units to help them with this process
Assigning Applications Each application that is ready for review must be assigned an “Evaluation Code” that is specific to your unit. “…entering that code is like putting the application into your Faculty members’ hands”
Assigning Evaluation Code Evaluation code can determine pre-fill values on the following pages in the component to support a specific process.
Evaluator Rating Applications can be assigned to one or more evaluators. Evaluators can be anyone with a UMID and can also be pre-populated by Evaluation Code setup.
Additional New Enhancements • Batch Evaluator Assignment Process • Reports • Improved Evaluation routing
