ASN RAW DATA and COMMON 824 ERROR CODES Debbie Selkey CHAMPS/CMS/ERS Manager
PRIMARY EDI TRANSACTIONS • 997 FUNCTIONAL ACKNOWLEDGEMENT • 824 APPLICATION ADVISE • 856 ADVANCE SHIP NOTICE • 861 RECEIVING DISCREPANCY ADVICE
997 FUNCTIONAL ACKNOWLEDGEMENT • The method by which DaimlerChrysler informs a supplier as to whether or not they have successfully communicated with our systems based on AIAG standards. • ASN acceptance or rejection is only based on industry standards, NOT DaimlerChrysler standards.
824 APPLICATION ADVICE • The method by which DaimlerChrysler informs a supplier that the ASN transaction submitted was either: • Accepted • Accepted with Error • Rejected
861 RECEIVING DISCREPANCY • Supplier notification that a DaimlerChrysler location has either: • Received material without an ASN • Received a quantity different than the ASN quantity • Damaged material is being returned/scrapped
ASN(RAW DATA AND RELATED ERRORS) • 856 Transaction • Method of payment for DaimlerChrysler suppliers • Primary method of tracking a shipment from the point in time it departs a supplier location to the time it arrives at the assembly and/or manufacturing plant
Minimum: BSN Transaction Date/Time & SID (Invoice) Number DTM Shipment Date/Time MEA Gross & Net Shipment Weight TD1 Container Category & Quantity TD5 Trailer Scac Code & Trans Mode TD3 Trans Method, Routed Scac Code & Equipment Number REF Packing Slip & Bill Of Lading Numbers (2) N1 Supplier Release/Shipfrom Codes & DCX’s Shipto/Final Destination Codes (4) LIN BP Part Item Identification LIN RC Container Item Identification SN1 Shipment & YTD quantities/accums (2) PRF Purchase Order Reference ASN (856) REQUIRED SEGMENTS
3 ACCEPTABLE PURPOSE CODES: ‘00’ used to send an original ASN ‘01’ used to send a cancellation Note - ASNs cannot be cancelled if the material has reached a consolidation point, border crossing or received by the plant. ‘19’ used by the supplier to perform a Supplier-year-to-date cumulative quantity adjustment. ‘BSN’ SEGMENT
EXAMPLE ‘BSN’ SEGMENT • BSN*00*73431301*020501*1256 • 00 Purpose code • 73431301 SID number • 020501 Creation date • 1256 Creation time • COMMON FATAL ERRORS • R224 - Cancellation transaction, did not match ASN • Occurs when any of the 9 key fields from the ASN do not match the cancellation request. • R222 – Duplicate sid number • Occurs when an ASN is transmitted with a sid number previously used in the last 18 months.
DTM SEGMENT • Includes information unique to the date, time and the time zone of the shipment • A supplier risks a late ASN if the ASN is not submittedimmediatelyafter the shipment leaves the dock • The 30 minute window is for DRIVE violations only! You must submit ASN upon carrier departure.
EXAMPLE ‘DTM’ SEGMENT • DTM*011*020501*1252*CD • 020501 Ship date • 1252 Ship time • CD Time zone qualifier COMMON FATAL ERRORS: • R204 - Invalid ship time or time zone qualifier Occurs when the ship time on the ASN does not fall between 00:00 and 23:59 or if the time zone code is unacceptable. • R311 – ASN Preassigned Occurs when the ship date and time on the ASN is greater than the ASN transaction date and time.
The ‘MEA’ segment is used to specify the dimensions of the shipment by indicating physical dimensions, tolerances, and weights. Two ‘MEA’ segments required in each ASN similar format, with the exception of the dimension qualifier-a ‘G’ is used for gross weight and an ‘N’ for net weight. ‘MEA’ SEGMENTS
MEA*PD*G*60808*LB PD Physical dimension G Gross weight 60808 Count LB Unit of measure EXAMPLE ‘MEA’ SEGMENTS • MEA*PD*N*35816*LB • PD Physical dimension • N Net weight • 60808 Count • LB Unit of measure • COMMON FATAL ERRORS: • R221 – Net weight greater than gross weight • R245 – Gross weight is non-numeric or zero • R249 – Net weight is non-numeric or zero
‘TD’ SEGMENTS • Three ‘TD’ segments are used in each ASN • ‘TD1’ Specifies the container category and total number of containers used in shipment • ‘TD5’ Specifies carrier details pertaining to the trailer Scac code, transportation mode, and pool point • ‘TD3’ Specifies details relative to the routed Scac code, equipment type, and equipment number used by the carrier
EXA MPLE ‘TD1’ SEGMENT • TD1*MIX90*364 • MIX90 Packaging Code • 364 Quantity • Examples of Acceptable Packaging Codes: • BAG13 = Bag • CTN25 = Cardboard carton • BBL52 = Barrel • MIX90 = Mixed • BIN52 = Steel bin • RCK58 = Rack
EXAMPLE ‘TD5’ SEGMENT TD5*B*CXUA*E***PP*00143 • CXUA The SCAC code representing the owner of the trailer material is being loaded into • E Transportation mode • 00143 Indicates the pool point/cross dock • COMMON ERRORS: • R370 – Expedited Carrier SCAC/Mode requires AETC (Fatal) • Occurs when the SCAC/Mode code represents an expedited move, but no AETC has been provided • R554 – Pool Point Missing on ASN (Warning) • R555 – Incorrect Pool Point on ASN (Warning)
EXAMPLE ‘TD3’ SEGMENT TD3*TL*154268 • TL Indicates equipment was shipped on a trailer • 154268 Trailer number • COMMON FATAL ERRORS: • R243 – Trailer/Railcar/Vessel number is not “0-9” • or “A-Z” • Occurs if number is not provided, or it contains lowercase letters or punctuation (i.e. “-”, “/”).
‘REF’ SEGMENTS • The ‘REF’ segment is used to transmit the identifying numbers of the shipment • DaimlerChrysler processes only the first 16 characters within a reference number, thus sending more may cause a rejection • A single Bill of Lading should be used to identify multiple parts on a shipment to a single destination • A Master Bill of Lading is required when the shipment is intended for multiple DCX destinations, via a Pool Point, Cross Dock, or Border Crossing
EXAMPLE‘REF’ SEGMENTS REF*BM*00321606 REF*PK*00316666 REF*MB*00321000 REF*FR*9971135904 • COMMON FATAL ERRORS: • R225 Duplicate Packing Slip Occurs when a Bill of Lading has been used within the last 18 months • R322 Duplicate Bill of Lading Occurs when a Bill of Lading has been used within the last 18 months • R356 Carrier Pro Number Missing Occurs when carrier SCAC code indicates Central Transport or CTX and ‘REF FR’ is missing
EXAMPLE‘REF’ SEGMENTS REF*BM*00321606 REF*PK*00316666 REF*MB*00321000 REF*FR*9971135904 • COMMON WARNING ERRORS: • R521 Multiple Bills of Lading Reported for Same Destination Occurs when more than one Bill of Lading is provided to the same destination • R523 Master Bill of Lading Required Occurs when a Master Bill of Lading is not provided and shipment goes through an ILC
A minimum of four ‘N1’ segments are required in every ASN Failure to include each of these segments on the ASN with a valid five-seven digit location code results in a rejected ASN If all parts are going to the same destination, all four ‘N1’ segments should be put in the shipment level ‘N1’ SEGMENTS
N1*SU**92*82459 N1*SF**92*82459 N1*ST**92*02452 E N1*MA**92*02452 or N1*BT**92*03103 Release Supplier Ship-From Location Ship-To Location Ultimate Receiving Plant Bill-To Location EXAMPLE ‘N1’ SEGMENTS • COMMON WARNING ERROR: • R272 Non Predefined Shipfrom • Occurs when the N1 SF segment does not agree with DCX pointer file
The ‘ETD’ segment is included in the shipment level of the ASN when a shipment is an expedite or when the normal routing instructions are not followed The ‘ETD’ segment specifies information pertaining to premium transportation and determines who is responsible for the excess cost ‘ETD’ SEGMENT An ASN can reject for several reasons involving the AETC number
EXAMPLE ‘ETD’ SEGMENT • ETD*ZZ*S*AE*SR123456 • S Identifies who is responsible for excess transportation (S = Supplier, A = DaimlerChrysler, Z = carrier) • SR123456 AETC number issued to authorize excess transportation. Acceptable AETC Prefixes are: SR = Supplier responsible CR = Carrier responsible CE = DaimlerChrysler responsible • Your Production Material Control analysts can assist in resolving any problems
‘SN1’ SEGMENT • Shows the current shipment quantity, unit of measure and the YTD shipped accum • YTD shipped accum is the value that appears on the Champs Audit screen (PHA5050T) in the “Supplier YTD Shpd” field. EXAMPLE SEGMENT • SN1**88*EA*15939 • 88 Current shipment quantity • EA Unit of Measure • 15939 YTD shipped quantity
‘PRF’ SEGMENT • Required at the order level and is used to show the DaimlerChrysler Purchase Order number • EXAMPLE SEGMENT PRF*O5517243 • PRFThe purchase order payment is to be made against
‘LIN’ SEGMENT • Used to identify the buyer’s (DaimlerChrysler) part number and/or the returnable/expendable container being shipped. • Used to cross reference parts to containers to ensure ASN compliance.
