Review of New Vendor Inactivation Process • New Vendor Inactivation Process is now implemented • Communicated as part of an e-mail to Agency Liaisons on 10/4/05 • Follow-Up Conference call for agencies on 10/6/05 • Key changes include: • Only those vendors that have requested to be inactivated OR have been requested for inactivation by DMS will be inactivated from the system. • These inactivations will take place on a monthly basis (specifically - the last business day of the month following the request). • Agencies will be notified of the pending inactivations by 2 methods: (1) a regularly scheduled communication from MyFloridaMarketPlace regarding the pending inactivations, and (2) the vendor's 'Company Name' will also be appended with information that flags the vendor as pending inactivation and the associated date. • Vendors will no longer be inactivated for invalid information. Instead, the vendor's 'Company Name' will be appended with information that flags the vendor as having invalid information and the associated date.
Review of New Vendor Inactivation Process • Additional Points About the Revised Process: • The flag on the 'Company Name' will allow agencies to see this information on an upfront basis prior to additional purchase orders being issued to this vendor. • Vendors that have been flagged to be inactivated will be flagged as follows "IA: mm/yy" where "mm/yy" represents the month and year of the vendor's targeted inactivation date (the last business day of the month following the request). • Vendor's with invalid data in their registration account will be flagged on the last business day of the week as follows: "ID: mm/yy" where "mm/yy" represents the month and year in which the invalid information was identified. • Agencies are encouraged to leverage their relationship with the vendor to get them to update their MyFloridaMarketPlace vendor registration. • Upon the initial failure of a purchase order (due to invalid information), the Customer Service Desk will reach out to the vendor and to the agency to obtain updated information, and resend if the updated information is available.
Review of New Vendor Inactivation Process • Available Reports: • Based on agency feedback- the team is generating reports that show (by PUI) any open requisitions, orders and IRs that would be impacted by vendors targeted for inactivation. • These reports are intended to help proactively address any system transactions that would be impacted by a vendor’s pending inactivation, and are distributed within enough time to allow an agency to complete these transactions in MyFloridaMarketPlace. • DMS will be providing regular communication that highlights how to access these reports, and will also include additional reports related to agency term master agreements and state term contract master agreements that are impacted as a result of pending vendor inactivations.

MyFloridaMarketPlace Activities • 32 agencies are now enabled to complete transactions in MyFloridaMarketPlace. • Continued to release application modifications and requested data changes in September. • Next release of application modifications is targeted for November 9th. Release notes will be distributed to all Agency Liaisons prior to the release. • Next release of agency requested data updates are scheduled to be implemented by last business day of October. Agencies will be contacted once data is migrated and available. • Team continues development and testing activities with Aspire.
