Overview of Workflow Rights The performance review process can take several different paths depending on how your company utilizes Employee Self Service, Manager Self Service, the access rights you grant, and the approval workflows you define. Review contribution options: Employee, Manager, and HR Practitioner Manager and HR Practitioner only HR Practitioner exclusively
Overview of Workflow Rights In the HR Practitioner Role, go to the: HR Tab> Performance Tab> Add or Edit a Review Policy
Manager Workflow Rights • The Manager Workflow Rights you apply here determine: • Number of Managers involved in the approval process • Included steps for compensation and job title changes • Setup exceptions in the approval process

Scheduling New Review - HR Practitioner When the practitioner logs in, they will pull up the employees record and go to the Performance Edit tab. The following screen will display:

Performing Scheduled Review – Employee Steps Once Employees log into Employee Self Service, they will access the Performance page that the HR Practitioner has setup.

Performing Scheduled Review – Manager Steps Remember: After hitting finish the review goes to the HR practitioner for approval.

Approval Process – HR Practitioner IMPORTANT: Rejecting a scheduled review will NOT delete the entire review. The form will be sent back to the manager to make any necessary adjustments. If the employees form needs to be adjusted, HR needs to send the form back to the employee. CAUTION: Rejecting a NEW review that was performed by the manager (NOT A SCHEDULED REVIEW) will delete the entire review.
Approval Process – HR Practitioner • The Edit Review Form button allows the HR Practitioner to make any necessary adjustments to the managers form on the managers behalf • The Send Back button is used to send the Employees form back to the Employee
Approval Process – HR Practitioner • Sending the Review back to the Manager and/or Employee places it back into the Performance section • Once the Review is Submitted the forms go back to the HR Practitioner for approval

Email Notifications Workflow HR Practitioner approves the review = Email = Action Manager receives notification to release the review to Employee HR or Manager schedules review Manager completes review in Manager Access Manager releases review to Employee Employee and Manager receives Notification HR Practitioner receives notification pending their approval Employee completes review in EE Self Service Employee receives notification to sign off on review Manager receives Email of review completed by Employee Employeesigns off on review
Set up Performance Review Reminders • Send performance review reminders to managers • Define how many days in advance of a scheduled review date a reminder should be sent • Send a secondary reminder

Helpful Tips – Contributor Settings If you enable: Employee and Managers to contribute to reviews • The employee reviews and updates the form via Employee Self Service. • The Manager reviews the employee responses and completes their form via Manager Self Service. • The HR Administrator reviews the forms, makes any necessary updates, and then approves the review. Neither Employees nor Managers to contribute to reviews • The HR Practitioner enters all the review information in HR & Benefits
Helpful Tips - Performance Reviews • If the policy is set for manager contribution, then the Employees need to have a Manager assigned. • The Employee’s Manager needs to have His/Her Manager Self Service account enabled. • HR or Manager may schedule and/or release reviews to employees. • If an employee is being transferred to another manager, all scheduled or pending reviews must be completed by the initial manager prior to doing the transfer. • Please ensure that the setup of the performance module is accurate prior to scheduling reviews. • For Single Sign On Users, please remember that after 20 minutes of inactivity, you will be logged off. Typing in a text field does not count as activity.
