What’s Cool Cool Functionality • Trip Templates • Share Trip • Clone Trip • Arranger View
What’s Cool Trip Template ‘Trip Templates’ allow a user to create a template for frequently traveled destinations. Administrators can create them for company-wide use. To create a template from an existing trip, select the trip from the ‘Upcoming Trips’ tab.
What’s Cool Trip Template Select the ‘Create Template’ option on the Trip Overview page:
What’s Cool Trip Template Name the template. Add descriptive remarks for reference. Admins can make the template global.
What’s Cool Trip Template To make a reservation from a template, first select ‘Templates’ from the Travel tab.
What’s Cool Trip Template ‘Personal Travel Templates’ are created by you. ‘Company Travel Templates’ are created by an administrator and can be used by all travelers. To book a reservation, select Book.
What’s Cool Trip Template You can search for same flights, perform a general search and indicate ‘Refundable only air fares’. If a car is not needed then uncheck ‘Search for this car’.
What’s Cool Trip Template Leave the ‘Search for this hotel’ box checked if a hotel is needed. Change the dates as needed. Click ‘Next’ to start the search.
What’s Cool Trip Template Concur presents the flights from the template. Click on ‘Fares’ to proceed with booking or scroll down to view more fare options. From this point, the booking process is the same as if performed from the Home page.
What’s Cool Share Trip ‘Share Trip’ allows a user to share one of their trips with a profiled traveler. The email sent to the profiled traveler will serve as an invitation to view or book a trip for themselves. Select a trip from the ‘Upcoming Trips’ tab.

What’s Cool Share Trip Select a name from the drop-down or click ‘Search’ to find the traveler. Add comments to include a messagein the email to your colleague. You can also include your itinerary in the email. Click ‘Share Trip’.
What’s Cool Share Trip If searching for a traveler, begin typing the traveler’s last name in the field provided. After finding the name, click ‘OK’ to refresh the screen. Add comments, include your itinerary in the email and click ‘Share Trip’.
What’s Cool Share Trip The invited traveler will receive an email as well as a notification on the Home page in the ‘Travel Alerts’ section. The user can view, book or hide the shared trip. If ‘Book a Copy’ is selected then the new booking is made similarly as when using a template to book a trip.
What’s Cool Clone Trip ‘Clone Trip’ is a feature used to book a trip for one traveler from the existing trip of another traveler. This feature can be used to make guest bookings if the user has the ‘Guest Booking’ permission. After selecting the trip in ‘Upcoming Trips’, select “Clone Trip’.
What’s Cool Clone Trip Select the new traveler from the drop-down list or click ‘Search’ to find the traveler’s name. The list will only contain travelers for which the user is permitted to arrange travel. If the user has the ‘Self-assigning assistant’ permission, click on ‘Search’ to find the traveler.
What’s Cool Clone Trip Make any needed adjustments in your search parameters. At the bottom of the page, click ‘Next’. Booking a cloned trip works much like booking from a template.
What’s Cool Arranger View The default view has the drop-down list to select the traveler’s name in the upper right corner of the page. Select ‘Arrangers’ to change to the Arranger View.
What’s Cool Arranger View The drop-down list for selecting a traveler is now on the left side of the page. Select a traveler in the ‘Choose a Traveler’ drop-down. If you have the ‘Self-assigning assistant’ permission, click ‘Search’. Add your search parameters and click ‘Search’ to begin the booking process!
What’s Cool Arranger View The Arranger View offers cool functionality for arrangers! In the middle of the Home page in the ‘Upcoming Travelers’, search for trips by date or date range. In this example, there are no travelers the arranger assists that are traveling on 2/5/2014.
What’s Cool Arranger View In the date range of 5/1/2014 through 5/19/2014, the arranger has 3 travelers with trips.
What’s Cool Arranger View Click on one of the traveler’s trips to review or update. A menu is displayed for the arranger to select a Trip Action.
What’s Cool Arranger View Click on the ‘I’m Assisting…’ tab. All travelers associated to the travel arranger will be displayed. Click on one of the names to see a quick view of the traveler’s preferences before booking his/her trip.
What’s Cool Arranger View The traveler’s preferences are displayed. Click on Edit to make changes to the traveler’s profile. Please note: ability to update a profile comes with being able to make a reservation as an arranger.
What’s Cool Arranger View Also from the ‘I’m Assisting…’ tab, click on the ‘X’ to remove a traveler from your list. You don’t have to wait for the traveler to remove you as an arranger from their profile. You can do it yourself!
What’s Cool Arranger View In the upper right corner of the screen, click Make this my homepage to make the Arranger View your default view. You can also go to ‘System Settings’ in your profile. In the ‘Other Preferences’ section, select ‘Travel Arranger View’. Click on ‘Save’ at the bottom of the page.
What’s New • Updates for Form Of Payment for GoGo and Southwest Early-Bird Purchases • Codeshare Disclosures – Search By Price Display • Designate Additional Recipient for Amtrak Eticket
What’s New Updates for Form Of Payment for GoGo and Southwest Early-Bird Purchases Prior to the February release, users providing a credit card for GoGo- WiFi and Southwest Early-bird services could always add these cards to their profiles. With the February release, if a company’s configuration is set-up to not allow users to add credit cards to their profiles then these settings will be honored. The provided card will be used for the purchase of these services only. In addition, if a company allows its’ users to add credit cards to their profile but not as a default air card then this company setting will likewise be honored.
What’s New Codeshare Disclosures – Search By Price Concur Travel now displays codeshare information upon initial display of air search results. The Search by Schedule page already displays this information.
What’s New Email Copy of Traveler’s Amtrak Eticket Confirmation Concur Travel provides an option to designated a recipient such as the company’s travel manager to receive a copy of the Amtrak Eticket confirmation email that is sent to the traveler. Travel Managers can use it as a back-up copy in case the traveler misplaces the original email.

What’s On Your Mind Changing a ticketed reservation in Concur – known limitations • Multiple carriers in new and old itinerary – not supported • Only available for etickets and carriers that support Rapid Reprice technology. FYI, most all U.S. carriers and many international carriers support Rapid Reprice. • Tickets with more than 4 segments/coupons - not supported • Multiple passenger reservations - not supported To make changes to more complicated ticketed reservations, please contact Travel Incorporated for assistance!
