Agenda • Tips and tricks for easier shopping cart transactions include: • Using the Clipboard • Using the cost assignment clipboard to ease the pain of filling in budget numbers, or Cost Centers, and G/L numbers for each item in a Hopkins eMarketplace order. • Recycling Old Carts • Using the old purchase orders and templates feature when ordering items that you’ve purchased previously. • Renaming Shopping Carts • Making strategic use of the name of the shopping cart to facilitate finding and sorting your carts.
Tip 1 Using the Clipboard
Using the Clipboard In this example, we’re ordering several items from Office Depot. We selected 7 different kinds of notebooks. Our order looks like this.
Using the Clipboard Select the Transfer Items to SAP Cart button
Using the Clipboard Scroll down to the Items in Shopping Cart section. Click the magnifying glass icon (details ) next to the first item in the list.
Using the Clipboard Under the Basic Data section for the item, select Cost Assignment.
Using the Clipboard Now the cost assignment is complete and correct for the first item. Using the clipboard feature: To copy this information into the cost assignment fields for the other six notebooks, we’ll use the clipboard feature.
Using the Clipboard Step 1: Select the Copy to Clipboard button.
Using the Clipboard This copies the information into an area called the clipboard, which is located below the account assignment overview.
Using the Clipboard Step 2: Click the check box next to Change All Items in Document.
Using the Clipboard Step 3: Click the Insert from Clipboard button.
Using the Clipboard Important note: When the Insert from Clipboard button is clicked, the check mark is removed from the Change All Items in Document box.
Using the Clipboard No error messages!!!
Using the Clipboard Select item description to view details.
Using the Clipboard The correct information is already filled in.
Using the Clipboard • To review: • Transfer items to SAP Cart from Office Depot • Select details for the first item in your list • Enter the correct Cost Assignment information • Click the Copy to Clipboard Button (1) • Check the Change all items in Document box (2) • Click the Insert from Clipboard button (3) 1 3 2
Tip 2 Recycling Old Carts
Recycling Old Carts Tip 2 uses the Old Purchase Orders and Templates option, located in the Add Items section of the Shopping Cart.
Recycling Old Carts Click the expand triangle to view details.
Recycling Old Carts If there are several items in the cart, click All to select all items in the old cart. -OR- Click each item to select individually.
Recycling Old Carts Select the Add to Shopping Cart button to move the items into your Items in Shopping Cart grid.
Recycling Old Carts Once in your cart, you can change the quantities as needed. Note: the items selected are copied into a brand new cart having a new Shopping Cart number.
Recycling Old Carts Good News Bad News Reusing a cart lets you avoid entering much of the detailed information for your items. G/L account numbers and other such information is all copied over from the old cart.) Because the items were ordered previously you know they are the ones you use. (No guessing.) Use this trick with extreme caution: prices may have changed since the last time the items were ordered. Items may have gone out of stock.
Tip 3 Renaming Shopping Carts
Renaming Shopping Carts • Renaming tips: • Strategize naming conventions • Think ahead about searching • Shopping Cart Name is a searchable field in these screens: • Check Status • Old Purchase Orders and Templates • Confirm Goods / Services
Renaming Shopping Carts Use the wild card character * to help find your cart.
Conclusion Today we covered three tips for Shopping Cart: Tip 1 – Using the Clipboard Tip 2 – Recycling Old Carts Tip 3 – Renaming Shopping Carts
We’re going to open the phone lines now! There will be a slight pause, and then a recorded voice will provide instructions on how to ask questions over this conference call line. We’ll be answering questions in the order that we receive them. We’ll also be answering the questions that were emailed to us during the presentation. If there’s a question that we can’t answer, we’ll do some research after this session, and then email the answer to all participants. Q&A
