Work with other club officers on a budget before your Rotary year begins • Checking account with 3-4 signers, duplicate checks/voucher checks. Set dollar amount for more than one signature. • Hopefully no bank fees. • Use QuickBooks or similar accounting program. Not Excel or spreadsheets. • Set up a file box with a folder for each month. • Recommend using a Club PO box if Treasurer or Secretary is only holding office for one year. • Require having someone review your work at least annually more often if possible so you or the Club are not put in a difficult situation. Prepare a weekly form to track cash collections and payments • Pay recurring expenses weekly. Prepare checks before the meeting. • Check the club mailbox and make deposits before the next meeting • Replenish petty cash when you make bank deposits B. Be Organized at Club Meetings April 2014
Bill / invoice meals & dues at least quarterly (consider billing in advance) • Send email statements monthly and send personal email reminders. Follow-up is important. Do not let members become delinquent more than 30 days • Balance bank accounts monthly C. Month End April 2014
Monthly reports to the board, provide monthly balance sheet, P&L , budget vs actual and aged accounts receivable reports • Prepare a budget and update it periodically • Keep a financial history for multiple year comparison • If collecting Every Rotarian Every Year donations plan to remit to the Rotary Foundation by December and May of the Rotary Year • Make sure no big surprises are upcoming on the financial side D. It’s all about consistency and diligence. Don’t think “I’ll do it next week or next month”. • If you want to accept credit cards –swipe with a “square” on a smart phone or similar device. • All clubs must an annual Federal 990 tax return.
