  8. Things to Keep in Mind During a Storm – Site Teams • Stay together as a team • Move from your secure location only as a last resort • Move as a team • Do not venture outside

Things to keep in Mind After the Storm – Site team • Allow Facilities Operations to make buildings, parking lots, and other areas safe • Work as a team to arrive at a consensus of Campus Operational Status • Prepare facilities for arrival of recovery staff and contractors • Communicate, Communicate, Communicate!

  10. Why is it so Important to Communicate? • Information is needed to assign resources • Need to inform essential staff • Information is needed for College President to announce College opening • College President needs to communicate to other government entities

  11. To Whom do you Communicate? • Deans • Supervisor • VPs, AVPs, Directors Ultimately, the intent is to inform the College President and Provost (via the Vice Provost of Facilities Management) with the information needed to make College opening decisions.

  12. Problems: • How do you communicate? • How do you accurately portray the condition of your campus to someone that is not able to see what you are seeing? • What do you need to report in order to have someone fully informed?

  13. How Do You Communicate? • Any Way Possible • Land Line • Regular Numbers • Cell Phones • Faxes • Email • Satellite Telephones • Messenger • Text Message

  14. How Do You Portray the Condition of Your Campus? • With an agreed upon, pre-established condition status • With an agreed upon, pre-established list of details to report

Blue • No serious damage to building structures. • Hurricane damage limited to unanchored trailers, shrubbery, and trees. • Some damage to signs. • Minimum flooding • Some damage to electrical service lines • Hurricane vegetative debris in parking lots and entrance roads • Campus can be operational within 24 to 48 hours • Custodial, trades and ground services needed to restore Campus. • Surrounding community has access to our facility

  16. Green • Some roofing, door, or window damage to buildings. (Minor Water damage) • Some trees blown down. • Considerable damage to trailers and signs • Flooding is limited to parking lots • No electrical service to the campus. FPL working on the problem(s) • Hurricane debris and some trees down in parking lots and entrance roads • Campus can be operational within 48 to 72 hours pending FPL • Custodial, trades and ground services needed to restore Campus. • Surrounding community has access to our facility but serious caution must be taken due to inoperable traffic lights and debris on roads

  17. Yellow • Some structural damage and some building envelop failures. • Some rooms are not usable until repaired because of damage • Large trees are blown down. • Trailers and signs are destroyed. • All general areas are flooded, including some buildings. • No electrical service to the campus. FPL will restore without commitment • Hurricane debris and major trees down in parking lots and entrance roads • Campus can be operational within a week pending FPL • Custodial, trades and ground services needed to restore Campus. • Surrounding community has limited access to our facility but serious caution must be taken due to inoperable traffic lights, flooding and debris on roads.

  18. Orange • Some complete roof structure failures to buildings and extensive damage to doors and windows • Shrubs, trees, are blown down • Complete destruction of trailers and signs • The Campus is flooded and it is very difficult to move around • No electrical service to the campus. FPL has not responded. • Hurricane debris and major trees down in parking lots and entrance roads. It will take two days to clear the entrances to the campus. • Campus operation not expected to be sooner than 6 to 8 weeks. • Contractors, custodial, trades and ground services needed to restore Campus • Major damage to the surrounding community restricts access to roads. • Authorities have cordoned off major portions of the community, curfew in effect.

  19. Red • Some complete building failures with small utility buildings blown away. • Complete Facilities Devastation (CFD) • Shrubs, trees, are blown down • Complete destruction of trailers and signs • The Campus is flooded and it is very difficult to move around • No electrical service to the campus. FPL has not responded. • Hurricane debris and major trees down in parking lots and entrance roads. • No estimate for re-opening is possible • Governmental aid needed to restore campus • Residences and commercial buildings in surrounding areas are destroyed • Authorities have cordoned off major portions of the community, curfew in effect
