  2. Introduction • Exporting is the process of sending data from your local database to a database in another location. • This presentation will illustrate ‘How-to’ export data from your TOPSpro database by breaking the process into a series of easy to follow steps. State of Nevada

  3. Vocabulary • export 1. To send or transport (a commodity, for example) abroad, especially for trade or sale. 2. To send (data) from one program to another. State of Nevada

  4. Be Prepared • Always BACKUP your data BEFORE exporting. • It is always better to be safe than sorry! State of Nevada

  5. Step One Open TOPS and click Wizards | Import/Export State of Nevada

  6. Step Two Click > Export this system’s data for use on another system Click> Next State of Nevada

  7. Step Three For submission of quarterly data, Click > Export tables for Data Submission (on disk) Click> Next State of Nevada

  8. Step Four The default setting is to export student data only.Accept this setting unless told otherwise. Click> Next State of Nevada

  9. Step Five The default is to export all tables and include incomplete records, accept this setting unless told otherwise. Click> Next State of Nevada

  10. Step Six Check > ‘Activity Dates’ For quarterly data submission, the dates should correspond to the current fiscal year. Set ‘Site’, ‘Program’, ‘Class’ and ‘Student’ to ‘All’ Click> Next State of Nevada

  11. Step Six, cont. You may get this message if any of the tables have no records. While it is common for ‘Personnel’ and “Class Status” records, it should not happen for other record types. Click> OK State of Nevada

  12. Step Seven Click > Save data on disk... Even if you going to be sending the file by email. The Send data as email option looks tempting, but it does not work for us. Do not use it. This step continues on next slide ► State of Nevada

  13. Step Seven, cont. Click > the Hard Drive icon State of Nevada

  14. Step Seven, cont. In this example, I am saving the export file onto my Desktop. Navigate to an appropriate folder, such as ‘My Documents’ or the ‘Desktop’ before clicking the Save button. Click> Save State of Nevada

  15. Step Seven, cont. Now you can Click> Next State of Nevada

  16. Step Eight Uncheck both of these boxes unless told otherwise. Click> Finish State of Nevada

  17. Step Nine Good! We have successfully created and saved an export file. Click> OK State of Nevada

  18. Step Ten Be sure to encrypt the file before sending it in an email. State of Nevada

  19. Step Eleven If this export is for data submission, use your email program to attach the encrypted file and sent it to: kzutter@doe.nv.gov State of Nevada
