Presentation Software • Presentation software is a computer program used to organize and present information • Presentation software allows you to communicate your ideas effectively • Use PowerPoint to present information in a variety of ways • On-screen presentations (slides) • Notes page • Audience handouts • Outline pages PowerPoint 2007
Options for Creating a Presentation • Start from scratch by creating a Blank presentation without any pre-formatting • Use a Template with preformatted slides, placeholders and custom layouts • Use a Theme with preformatted slides • Design Themes can also be applied after a presentation has been created.
Four Basic Presentation Views • Normal view is the primary editing view • Slide Sorter view is used for rearranging slides and adding slide effects • Notes Page view is for typing notes to yourself or for the presenter • Slide show view is used to deliver the presentation
Normal View and Panes • PowerPoint opens in Normal view • Normal view is the primary view for writing, editing and designing your presentation • Normal view is divided into three panes • Slides and Outline tabs • Slide pane • Notes pane

The Outline tab displays the text of your presentation in the form of an outline The Slides tab displays the slides of your presentation as small images, called thumbnails Thumbnail
Right Pane • A pane on the right will appear when certain features are selected as such as: • Custom Animation • Insert Clip Art • Research

Slide Layouts and Placeholders • You can choose among nine slide layouts when creating a new slide • A slide layout contains text and object placeholders that are arranged in a specific way on the slide • A content placeholder can be used to insert text or objects such as text, clip art, tables, charts, and other objects by clicking the appropriate icon • See following slides…

Promote and Demote bullets • Text is entered as bullets • Subtopics should be indented under a main topic. • Demote - press [Tab] to move a bullet down a level • Promote - press [Shift] + [Tab] to move a bullet up a level • Promote and demote buttons also on ribbon 1st level bullet 2nd level bullet
Formatting Text • Once text is entered, you can format it with fonts, colors and sizes • Formatting text allows you to make specific points stand out and grab the audience’s attention • An entire presentation can be formatted by using a Design Theme (see next slide)
Design Theme • Design themes give your presentation a cohesive look • A design theme incorporates sets of • colors for fill, line, and shadow, called theme colors • fonts for titles and other text, called theme fonts • effects for lines and fills, called theme effects Design tab More button Design themes
Additional Text Options • When text box placeholders alone do not deliver the desired message, try inserting or adding: • Text boxes – place text in different places on the slide • WordArt – is a set of decorative text styles that you can apply to any text object • SmartArt – convert text to a graphic • Shapes – can be used to create callouts, banners, flowcharts, organizational charts with and without text
Graphics Options • To make a presentation more interesting or a stronger point use: • Clip art • Photographs • Movies • Sounds • Quick Styles - is a set of predefined formatting options for text and graphics
Quick Styles A Quick Styleis a set of formatting options, including line style, fill color, and effect
Charts and Tables • Use chartsto graphically represent numerical data • Chart types include column, line, pie, bar, and others • Use a table when information would look best organized in rows and columns
Slide transitionsdetermine how a slide moves in and out of view during the slide show. Transition categories Slide Transitions
Custom Animation Effects • Animation effectsdefine how the objects in your presentation appear on the screen during a slide show • For example, you can have each bullet in a list appear one at a time • You can animate text, graphics, sounds, hyperlinks, SmartArt diagrams, charts and chart elements
Custom Animation Types • Entrance—causes an object to enter the slide with an effect • Emphasis—already visible object has an effect • Exit—causes an object to exit slide with an effect • Motion Paths—causes object to move on specified path on slide

Master Slides • There are three Master views: • Slide Master view • Handout Master view • Notes Master view • Masters store information • position & size of text and placeholders • text styles • background colors • effects, animations and theme colors • Changes made to masters appear on slides, notes and handouts respectively
Slide Master View Slide Master • Changes made to the Slide Master will appear on all the associated layouts • Layouts can be individually modified as well Slide Master layouts
Customize the Background Style • The background, which is on every slide, is the area behind the text and graphics • A background graphicis an object placed on the slide master • You can modify the background with images and color to enhance slides • You can also apply a background style which is a set of color variations derived from the theme colors • Theme colors are a set of twelve coordinated colors that determine the colors for all slide elements in your presentation
Headers and Footers • Headers and footers are information that you can add to each slide, such as a company name or the date • To insert headers and/or footers, click the Insert tab, then click Header & Footer • The placement of the footer text objects on the slide is dependent upon the presentation theme • To apply headers and footers to notes and handouts, click the Notes and Handouts tab in the Header and Footer dialog box
Slide Sorter View Slides appear as thumbnails and can be rearranged. Slides may also be arranged in normal view.
Slide Show View • To view the show, click the View tab, then click the Slide Show button in the Presentation Views group • The Slide Show toolbar buttons are semitransparent and blend in with the background color on the slide • Other useful Slide Show commands : • Esc key – to end slide show • Spacebar – to advance to next slide • Left and right arrow keys – to advance or go back one slide

Printing a Presentation • Using the Print dialog box, you can choose to print slides, handouts, notes or the Outline view • Handouts can be printed as 1,2, 3, 4, 6, or 9 per page • You can print in Color, Grayscale or Pure Black and White, depending on your printer

Evaluate a Presentation • Keep your message focused • Keep your text concise • Keep the design simple • Choose attractive colors • Choose fonts and styles that are easy to read • Emphasize important text • Use visuals to help communicate your message
