  2. Items To Cover • Animal Ordering Problems • Construction Updates • Consolidation of Dual Users

  3. Problems with Animal Orders?

  4. Identifying the Problem • How many problems? • What is causing them? • How do we correct and reduce these ordering errors?

  5. Data Collection • DLAR personnel collected and monitored the errors over the last three months. • We identified some “trends” and came up with some ideas which significantly reduced the errors.

  6. Animal Order Problems Cause

DLAR • Errors were made by the procurement officer during the ordering process. • Most errors (10 of 12) were made on Taconic orders. • This is significant due to the short “turn-around” time. • i.e. order on Monday, delivered on Friday • ** Remember: a 3-day acclimation period is required, so those animals received on Friday should not be used until Monday without prior IACUC approval

  8. Communication • Errors were made due to communication errors between lab personnel and DLAR. • Lab personnel did not receive the email in time to respond for that week. The animals were not ordered.

  9. Vendor Problems • Vendor errors were indentified. Credits and replacements were issued where applicable.

Changes • On March 10th, 2010, the Procurement Officer started to approve orders as soon as he received them , instead of waiting until they all arrived on the deadline date. • Reminded all users to be diligent about checking the “creator’s” email when they have placed animal orders, and to look for counter offers and order/strain inquiries. • Modified the field so that the delivery location is required to place the order.

  16. Animal Room Movement/ Reconsolidation

  17. Why would we need to move animals? • To group dual users together in the same space. • To accommodate new recruits with animal housing needs in the barrier.

  18. Current Rooms With Dual Users • Skirball and Smilow • Before the consolidation we had 15 rooms with dual users. • There is currently 1 room with dual users and non dual users and 7 rooms with dual users only.
