Questions Answered • How do I start a funding search? • Where should I look for funding? • Is there a way funding options can come to me? • What about limited submissions? • So, I have funding proposal, now what? • What if it is a foundation?
Who Are We? Beth Keithly – Associate Director of Research Development Jonathan Spencer – Grants & Contracts Specialist in the Office of Sponsored Projects
Starting A Funding Search Brainstorm: If you haven't already, jot down what you'd like to research or study in the next 12 months and outline some attainable goals for that work. Identify what kind of support you need to make it happen. Read Acknowledgements: Look in the acknowledgements of papers written on your topic. See if the author received funding from an institution that may also support your work. Network: Networking has obvious career advantages. And, it can also help you find grants. Use any professional meeting or conference as an opportunity to uncover funding opportunities. Identify and Select: Examine print and electronic funding sources for both pubic and private funding sources.

Limited Submissions • Limited submissions announcements restrict the number of applications or proposals that an institution may submit for consideration. This requires that campuses screen potential submissions to determine which will go forward to the sponsor. • Policy change – starting Sept. 1, a one page letter of intent will be due via Research Explorer. If necessary, a pre-proposal may also be required. • Funding opportunities, internal and external deadlines are available at http://www.utdallas.edu/research/development/limited.html • This list is not exhaustive. If you find a limited submission opportunity not on the list, contact the Office of Research Development.
So, Now What? • The Office of Sponsored Projects is tasked with, among other things, submitting proposals to funding agencies • Each PI has a Grants Specialist • Talk to your specialist – the more they know, the more they can help • List is available on the website: http://www.utdallas.edu/research/osp/documents/grant-specialist.pdf
What will the Specialist need? RFP or special solicitation guidelines Completed, signed "Proposal Certification Form" Completed, signed “Export Control” Form Matching funds/Cost-share form as applicable Subcontracts/Subrecipient documentation as applicable IDC Waiver form if applicable
RFP or Solicitation Guidelines • Helps us understand sponsor requirements for the program your applying for • Tells us of any special requirements • Tells us standard details such as due date, budget limits, etc.
Proposal Certification Form • Dean’s authorization to commit resources (effort, labs, etc.) • Dean’s authorization to commit cost share • MUST be received prior to submission • OSP will NOT SUBMIT without a signed cert form

So who actually submits a proposal and how? • It Depends • There are institutionally submitted proposals and individually submitted proposals • Some are web based where you log in and upload the components in PDF format • Some you have to download a PDF application package, complete by filling in information and upload components in PDF format, then send to OSP for submission
Institutional submissions • Institutionally submitted proposals • Most common • Usually large sponsor – Federal, State and large private sponsors • Requires submission by Institution and signed by Authorized Representative • Generally PI completes proposal and routes/sends to OSP to formally submit • Both web based and downloaded application type
Individual submission • PI submits proposal • May or may not require an Authorized Signature • Usually foundation or small private sponsor • The PI submits/mails in the proposal • Always web based or mailed (very infrequent)
So what should I keep in mind? • Start Early! • Statistically increases your odds of an award • Allows for ORD and OSP to offer more assistance • Allows flexibility for unexpected difficulties • 4 day rule – Have everything forwarded to OSP 4 days prior to due date (draft of main body acceptable) • Remember your internal documents • At least a Cert and Export Control form every time prior to submission • Obtain the proper signatures on internal forms
Don’t forget! Whether your submission is an institutional submission or individual submission, take advantage of the services offered by ORD and OSP and …… OBEY THE RULES! Complete proposal to OSP 4 days prior to due date Forward all required internal documents to OSP PRIOR to submission.
