MASTBAUM AREA VOCATIONAL SCHOOL ORGANIZATION WORK All records for the new September advisories are in the student pockets in the Conference Room. You will be given a September Advisory List for your new advisory group. The September Book Number and other pertinent information must be entered in the appropriate spaces on the following records in black ink. 1. Pocket 2. Medical Record 3. New Roll sheet
DO IN THE ORDER LISTED (ALL ENTRIES IN BLACK INK THIS YEAR) 1. Pocket – Enter new grade in Grade row and Advisory/Book number in Room No. row, next block to right of last entry. From the pocket remove the the medical records and last year’s roll sheet. Now continue to do the following as stated. 2.Any discrepancies and/or missing pockets are to be reported to Ms. Velez or Ms. Thomas in the main office. 3. Medical Record – Enter new grade and Book Number in next space to right of last entry near top of form. • Remove any medical records from pocket such as immunization card, doctors’ notes, etc. and put inside form. Replace form in pocket. ONLY 9TH GRADE ADVISORS WILL REMOVE MEDICAL FORMS AND RECORDS FROM POCKETS. • Put a rubber band around 9th grade medical forms. • Deliver 9th Grade Medical Records to nurse.
4. New Roll sheet (make entries in INK) • Enter Trade in space in upper right hand corner, under column marked GR. • Enter new Book Number on space in upper right hand corner marked RM./BK.NO. • If not already entered record absence (excused, unexcused and total) data for 2008/09 school year in space in upper left hand corner of roll sheet. This data is found on last year’s roll sheet on bottom titled DAYS OF ABSENCE. • Enter parents’ first name in appropriate space in upper right hand corner. This data can be found on last year’s roll sheet or blue card. 5. All phone numbers and addresses of all students in your advisory must be verified. New information should be recorded and reported to the main office.
Return of Records • Place roll sheets in binder alphabetically. Check advisory list to see that they agree. Any discrepancies are to be reported to Ms. Velez or Ms. Thomas in the main office. • Arrange Medical Records alphabetically and give to checker. • Arrange pockets alphabetically, remove rubber bands and file in cabinets in main office. RETURN ALL RECORDS TO ACADEMY LEADERS FOR CHECKING. THEN RETURN RECORDS TO MAIN OFFICE.

4. Bell Schedule for September 8th, 2009.There will be 2 advisories. • OLD ADVISORY – students from June 2009 advisories will report to their old advisories at 7:50. This list is a part of your packet. Advisors inform students of their new advisories and new advisory rooms (use the 09-10 Advisory list). • NEWADVISORY – distribute new rosters, troubleshoot roster issue, relate rules, dress code, gather information for roll sheets i.e. correct phone numbers, give out student profiles and Personalized Graduation Plan. Use the time to get students caught up on their graduation status. Senior and Junior advisors this is very important time, you will have many questions and if you don’t get any you should ask some.

DO NOT SEND STUDENTS TO THE ROSTER ROOM. All problems should be addressed initially in the extended advisory by using the ROSTER CHANGE REQUEST forms. • Advisors: During the extended advisory, review with students what is on their rosters plus courses passed/failed on their credit profiles, use the typical roster as a guide. Be aware of your students’ credits and what they need to graduate. If you need help see the counselors (Ms. Cooper, Ms. Richmond, or Mr. Usher). Senior Advisors: You must communicate with the senior grade chair.
CAREER TECHNOLOGY EDUCATION PROMOTION CONTRACT (A work in progress, I still need the CTE teachers to give me their approvals, suggest omissions or additions.)
This letter is to inform you that if you have failure(s), you may not be able to graduate in June 2010. Since you did not take the necessary steps to correct failures i.e. attending summer school, your graduation from Mastbaum could be in jeopardy. Since there is no Night School, you may have to pursue alternatives such as an approved private school, credit recovery or sacrifice your lunch period during the school year (with parental approval). If you are behind .25 or .5 credit in either Arts and Humanities (AHUM) or Health and Physical Education (HEPE) alternatives have been set in place for you to acquire the necessary credit to meet the School District of Philadelphia requirements to graduate on time. They are: 1. You can sacrifice a half a year of your lunch (with parental approval). 2. Participate in an Extra Curricular activity i.e. get involved with a sports team and earn .5 HEPE credit or participate on the choir and earn .5 AHUM credit. If you participated on a team or sang in the choir in previous years this will not apply to you. 3. Join the YMCA/YWCA, an outside gym (Bally’s, LA Fitness, etc) or be a member in good standing. Bring in documentation from the institute on their letterhead indicating you are in good standing and an active member. 4. Volunteer your service to a community base center. If you volunteer 30 hours you will receive .25 AHUM credit and for 60 hours you will receive.5 AHUM credit. 5. Do a Research paper 5-8 pages long. The Senior Grade Chair will choose the topic and give you the assignment. 6. Participation in Youthworks and SLAM during the summer. Letter to Seniors
List of seniors in 150 Advisory - incomplete senior projects. When projects are completed, a Grade Change form must be completed and given to me. List of At Risk Students (Repeaters) - please note who they are. Monitoring of their progress will be important. Teachers and counselors of juniors who could be seniors, take a good look at what they will need to graduate and orchestrate a plan. Lets not wait until January when some of them are promoted to 12th grade and then planning begins.
ROSTER ISSUES AND QUESTIONS (CONT) • Use advisories to remind students of the importance of classes on their rosters and it is their responsibilities to work hard in each and every class. Also relate to them the consequences of failing classes especially their CTE program -- not graduating with their class, transferring to their neighborhood high schools, and summer school. • Remind students that what is on their rosters are all required courses to graduate from Mastbaum or any other high school in Philadelphia.
Advisors: • Taking attendance in the roll book should not be the same as taking attendance for the report card class called “Advisory.” • You should keep a separate attendance sheet for advisory just like you do with your subjects. • When you update using Scholarchip’sePass, it should be the same idea as when you are updating attendance for your subject classes. • Cutting advisory should be handled the same way you handle cuts of your other classes. • Scholarchip is your tool to keep track of cuts and to make all necessary steps to stop it.
Tell students that Advisory grades will be a permanent part of their transcripts and employers will want to know why they fail advisory.

You can access student information, schedule, class cuts, absences and latenesses to school.
To keep students’ information, attendance and grades, there is a site license for Easy Grade Pro (EGP). FOR EXPERIENCED USERS -- IMPORTING FILES INTO EGP 1. Open the Excel created roster file provided by Roster Chair into MS Excel. 2. Save it as a Text (tab delimitated *.txt) file - a .xls file will not work. Delete all teachers’ lists except your own. Make sure you keep the column headings. Look over the list to know the students and what classes they are in, you will need to know this when you import into the classes you create in EGP or print =out a hard copy. Exit Excel. 3. Open Easy Grade Pro. Create a new Gradebook. Rename. Save. 4. Add classes. Name your classes i.e. Biology 1st period. Check Terms 1,2,3,4. Continue adding other classes. Click on Next Class. When done click DONE. 5. At top of screen select CLASS. Click Term 1 and select a class. GUIDE ME window pops up. VIEW/EDIT CLASS OPTIONS (You can make adjustment now or do this after you import students). Click CANCEL to begin import student names. GUIDE ME window pops up … needs student... Click 'IMPORT FROM ANOTHER FILE'. 6. Click 'EASY IMPORT' OF STUDENTS then Next, Click 'Current class', 7. Browse to select the text file you saved earlier. Select the file. A window will open with the column headings on the right. Name the format ("import roster"). Click on the down arrows to find the fields that match up with the headings that you want to import. i.e. Last with Last Name, SID# with ID. If a field does not exist but you want to import it use Student Custom 1, 2, 3 etc. You can change these later. Import Subject as a Student Custom #. 8. Click next and the window will show the names of all students in the file you just imported. 9. Deselect (white out) any student not wanted in the current class. 10. Repeat from step 5 for each class.
