Case Study Situation For years, Habitat spent extensive hours fixing and adding on to PartnerNet to keep up with the expansive growth of new mini-sites and number of affiliates. As a result, information became increasingly difficult to find, access, and manage. Habitat needs to regularly collect, analyze, and report on information provided by multiple individuals. The current process is labor-intensive, time-consuming, and fraught with the potential for missing and inaccurate information, as spreadsheets are emailed back and forth or custom applications are developed to collect data. Solution Using Microsoft® Office SharePoint® 2007 as a development platform, AW Systems worked with Habitat to rebuild PartnerNet into an organized collection of global and regional program and department websites, tailored to Habitat’s current and expanding needs.Benefits • Workflow developed for a variety of processes, including the monitoring of content developments within each project site to ensure data quality, relevance, and currency. • Allow users to view and interact with spreadsheets directly, maintaining a single version • A robust Wiki will allow Habitat affiliates and program/department staff to easily find, contribute to, and update this important material in an efficient manner.
Mott Foundation • Intranet (with functions that display master calendar, roll-up announcements from departments, HR documents, policies, etc.) • Custom pages that display dashboards of various grantmaking activities, filtered by user or team, including any alerts fired by their grants management software (SQL), and a live feed of any new funding inquiries generated by their web site (filtered by designated program person). • Document repositories that aggregate a wide collection of documents, scanned and created, into a single view that can be filtered and displayed based upon metadata – there is one that gives an ‘all-in-one” view of all documents related to any particular grant, filtered by the grant, the organization, and/or EIN). • Custom Infopath libraries that store and/or display, for example, all travel (based upon a travel approval Infopath form) – the display is filtered to show only future travel, with people that are out of the office on the current day high-lighted in red. Deal breakers SharePoint may not be right for every organization. An honest assessment could save you time & money. Be cautious about adopting SharePoint if: • You have no IT staff, or no budget to work with consultants. • You only need one specific thing (ex: a blog). There may be more focused tools you can use for targeted needs.
Lessons Learned • Find help first (i.e. IT support) • Start small! Get feedback on conceptual design • Get leadership support & buy-in • Develop a plan and a budget • Don’t neglect training & user adoption • Find a safe place to play • Consider organizational culture & policies; new software won’t change these
