Treasurer’s Deed Process • Mail Delinquent Tax Notice and Deed request form to Certificate holder • For Severed Minerals - complete Title search in Clerk & Recorder’s office – going back at least 10 years • Signed Request and Deed Deposit of $150 received for Severed Minerals, Deposit of $500 for Real Property
Treasurer’s Deed Process • Create Note (Clearing) card to track deposit & expenses, Card should have • Certificate number • Certificate holder & property owners last names • Schedule number • Create columns for: date, receipt #, description, debit, credit, & balance
Treasurer’s Deed Process • For Severed Minerals • Deposit $150 in clearing • Deduct $35 Deed fee • For Real Property • Deposit $500 in clearing • Deduct $75 Deed fee
Treasurer’s Deed Process • Send title memo request to County Abstract Company – Real Property • Complete Tax Deed Record • Complete Envelope File: show owner, cert hold, cert number, schedule number on envelope • Update schedule message – Indicate Deed process has started, check file for additional fees
Treasurer’s Deed Process • Type mailing list from information from title search on both Tax Deed record & Notice of Purchase • Deduct title memo fee from clearing card – for Real Property • Prepare Notice of Purchase • Deed date can be set 3 months from date that the request is received, but must be at least 3 years after the original sale date
Treasurer’s Deed Process • Mail a copy of the Notice of Purchase by CERTIFIED MAIL to each entity on the mailing list • If the land owner is not the certificate holder, they should receive a copy by first class mail only • Deduct postage fees from clearing card
Treasurer’s Deed Process • If a Certified letter is returned undeliverable – it must be sent to the intended recipient addressed to the County Seat • Prior to issuance of Deed, notify certificate holder of any additional fees, taxes, that are or will be due on the property – enter received moneys on the clearing card
Treasurer’s Deed Process • Create Treasurer’s Deed on “Deed Date” • Send to County Clerk & Recorder with $16 for recording fees • deduct fees from clearing card • After Deed has been recorded – Send original to Certificate Holder • Place a copy in the file
Treasurer’s Deed Process • With remaining deposit – pay taxes for the next year • If there is a remaining balance, send refund check to Certificate Holder
