A Trainer’s Dilemma Some Participants Reaction Time Management Tools & Techniques
Executive Coaching – Graduate Certificate Program Royal Roads University
Tools & Techniques What tools do you have in your tool-box already?
Tools & Techniques • Time Log • Importance/Urgent Grid • Don’t do it – delay doing it – do it! • Delegation • Break into ‘baby-steps’ • Warm up but don’t procrastinate • Identifying other roadblocks and removing • Identify your overused strengths / need to grow your skills
B. Urgency Vs Important Grid IMPORTANT NOT IMPORTANT URGENT NOT URGENT
C. So What? Urgency Vs. Important Grid Important &UrgentNot important or Urgent Do it NOW! Don’t do it! The story of TROY
Delegation is hard work! • What • Who • Importance • Overview • Describe desired end result • Resources • Ensure understanding • Monitor – regular Feedback • Congratulate!
So What? • Current: 15 minutes per week = 13 hours per year your time • If you delegate: • ½ an hour of your time to train • ½ an hour of their time to learn • 20 minutes of their time to do each week • You save 13 hours (1.5 days) and they spend 17 hours doing the same work.
Annual Time Savings Examples • 15 minutes per week = 13 hours • 5 minutes per day = 22 hours • 2 hours per month = 24 hours 58 hours
E. Break into ‘baby-steps’ • It’s easier to tell yourself that today, you only need to spend 10 minutes: • exercising • or cleaning out the garage • or working on that ‘mountain’ of a project
F. Warm up - but don’t procrastinate • What is the ‘warm-up’ you can do to get you in the mood. • When is your best time of day to think?? don’t waste it.
G. Identifying other roadblocks and removing • Interruptions – people, email, your own thoughts • Clutter • Sheer work volume distracts you • Regular crisis's arises that legitimately need your attention. • Pulled in every direction
H. Overused strengths and underdeveloped skills • Look at the time log – what do you spend the most time on? • What important/urgent quadrant does your ‘overused’ strengths get used the most? • What skills could be developed for the important / non-urgent quadrant?
So What? Strengthen skills needed here IMPORTANT Q: do spend time here because of my strengths? NOT IMPORTANT URGENT NOT URGENT
If you understand/ know about all these techniques … … Why aren’t you using them?
Questions for you • What prevents you from obtaining success? • If you were guaranteed success what would you do? • What resources can you tap into?
Thank you • I look forward to the conversations • Draw for 3 coaching sessions at the end of the District tour ….
