Project Management and Coordination - Reporting: Annual interim technical activity reports Annual interim financial statements Ensure duties towards the European Commission -> Partners send reports to WP Leader -> WP Leader send compiled reports for their WP to the coordinator -> Coordinator compiles report to the EU Exchange of documents by Email For large documents including images a web platform will be available - Financial Implementation of the project -> coordinated by BAZ Administration (Mrs. A.Schulz)
Project Management and Coordination Scientific coordination of the implementation of the action - Ensure working of logistics. - Ensure orthogonality of field and lab work. - Ensure inclusion of results into an online accessible database. - Statistical analysis and generation of knowledge from the data. -> Project web applications will be available for: - Generate fieldplans according an agreed randomization design: suggested design: augmented randomized block design - Generate downloadable pdf and Excel sheets for data acquisition în the field including methodology description - Downloadable lab protocols including methodology description and sample lists - Upload or online input of project results including pictures
Duties towards the European Commission Annual interim technical activity reports · Action objectives: summarise the action objectives during the reporting period. The objectives of the action shall be reminded and stated in a measurable and verifiable form. Progress in the implementation of the action will be measured against these goals in assessing the report. Significant risks (if any) of not reaching the objectives of the action shall be mentioned. · Key results achieved and outputs: summarise in a concise style the main achievements and results of the action during the reporting period. Each of the tasks, deliverables and milestones achieved for the relevant work packages shall be reported.
Duties towards the European Commission For each WP, each task/sub-task achieved: WP... -Task 1 …Sub-task 1 -Task N …Sub-task n Annual interim technical activity reports · Summarise the main objectives of WP · List partners involved to achieve each task/sub-task. · Describe what has been done regarding each task/sub-task · Describe the methodology used: Use tables, diagrams and flow charts to illustrate the achieved results.
Duties towards the European Commission Annual interim technical activity reports For each WP, each task/sub-task achieved: · The results obtained should be discussed in a critical way: Are the results in conformity with what was expected? If not, why? Avoid complex or confuse explanation. · A short conclusion should be drawn underlining for each task if the foreseen results have been achieved and the added value of these results, in particular at EU level. · Summarise the deliverables achieved.
Duties towards the European Commission Annual interim technical activity reports Progress of the action: · Guide the list of work packages: detailed tasks, deliverables and outputs comparing planned with actual implementation (pre- formed tables). · Indicate clearly the start and end date for each task, and if the deliverables have been achieved or not. · Compare the progress made with the established time schedule. In case a task is not entirely achieved, explain why in section 4 (problem(s) encountered).
Duties towards the European Commission Annual interim technical activity reports Problem(s) encountered: · Any deviation of WPs from foreseen to be justified. · Technical problems or difficulties encountered or foreseen ( bad weather conditions, delayed equipment delivery, delayed analysis in laboratories, changing role of co-beneficiaries/partners and their implications for future tasks. · If the action seems likely to become/stay behind schedule, please indicate this clearly and explain why. · In case of significant problems alternative viable plan may have to be reviewed. · In case of a delayed task, indicate the new time schedule
Duties towards the European Commission Annual interim technical activity reports · Describe what the coordinator and partners have done to organise/co-ordinate the action: meetings, seminars etc… · Describe any changes in the action's management structure; partner withdrawn, replaced. The Commission also must be informed of major modifications in separate request notes. · Insert a clear informative organigram. · Indicate if any extension of the project duration is needed or envisioned.

A key task of the GENRES action is the dissemination of the progress and results of the action · How the participants disseminate or exploit the interim results and how the action contributes to the aims of the conservation, characterisation, collection and utilisation of genetic resources· · · · Concise statement of the activities carried out for the dissemination of the interim results

Duties towards the European Commission Annual interim financial statements Eligible cost actually incurred and paid: - drawn up individually for each beneficiary for the respective annual period: certified, complete and numbered list of paid salary expenses and invoices and totals; - External audit reports provided for in Article I.11 of the Specific Conditions and Article II.15.3 of the General Conditions of the Grant Agreement; - Update of the action's budget.
