When: 8 November 2008 **Rain out day: 15 Nov** Where: Risner Fitness Center (Kadena Air Base)Who: Over 1200 Athletes from 62 Local schools, Workshops and DoDDS Game Day

General Information All Volunteers • Weather • Heat – It might be hot! • Hydrate, avoid heat-related injuries • Rain – KSO is a rain or shine event! If it is raining on game day, you still need to show up. If the event is postponed, it will be announced on AFN radio/television/Website • In case of lightning, don’t leave your athlete! Move into Risner, O’Connor Gym, Pro shop, etc.
General Information All Volunteers • What to wear – • athletic attire recommended • Comfortable clothes and shoes • Conservative/in good taste • No inappropriate language/graphics, no short shorts/skirts, no exposed stomachs • What to bring - sunscreen, hat, sunglasses, rain gear • Food/Drink - Lunch provided, water available all day • Parking- Extremely limited – carpool, walk, bike, use shuttles
General Information Huggers • What is a Hugger? • A Hugger is an escort for the athletes/family • Ambassador for the military • Escort athletes/family to events • Pick up lunch/water • Pick up gift bags • Be a friend!
Hugger Responsibilities • Pick up 1 balloon on way out • Volunteers will take groups of 10-15 to Athlete Tents in Parking lot behind Risner • Give your athlete balloon (used for Opening Ceremony) • Tent Monitors and Interpreters will be there to assist
Hugger Responsibilities • Stay with your athlete/family throughout the day • Escort to events/lunch/bathroom – EVERY THING! • Must stay at the Games until your Athlete leaves (make sure you check out with the tent monitor) • Athlete’s name and events on a number tag • Events ID by code, i.e. T1, F1 • Tear off a gift bag ticket from the athlete number tag and exchange it with your gift bag at the gym.

General Information Volunteers • Sign In • Begins at 0615 @ Risner Aerobics Room (on the side closest to the track) • Don’t go in the front! • Sign-in arranged alphabetically • Certificate • Pick up Volunteer Trifold, lanyard, athlete balloon, event booklet • Move to Athlete Tents behind Risner to meet athlete • PLEASE BE FLEXIBLE!

Working with Special Needs Individuals • Be a cheerleader, smile, have fun, relax and be calm • Be aware that athletes need direction, assistance, and supervision at all times • Acknowledge accomplishments and speak clearly (to the interpreters) • Communicate with gestures like high fives, thumbs up and words: “Good try! Great job!” • Remember, the athletes are unique individuals • RESPECT THEM! • Make sure your athletes are comfortable, i.e. bathroom breaks, food, water, health • How would you feel if you could not communicate?

18 MDG Medical Tent All Volunteers • Medical Tent • First Aid and Triage • Privacy for special needs cases • Location: Athlete Tents and by US Volunteer Registration • Emergency Services • Japanese and US Medical Support • Support from Kadena Fire Department as needed Capt Andrew Mattern: andrew.mattern@kadena.af.mil
18 MDG Medical Tent All Volunteers • Three medical teams on roving golf cart, two personnel per golf cart • Optometry services provided to athletes in the Athlete Tent area near Information Booth • Diaper changing available in Athlete Tent area
Safety All Volunteers • Top concern for you and the athlete • Maintain situational awareness at all times • Protection from the heat/rain • Wear a hat and use sunscreen • Drink plenty of water – avoid caffeine/soda • Encourage athlete to drink plenty of water • Report unsafe conditions immediately!!
Transportation All Volunteers • Carpool/Walk/Bike/Run – don’t add to the congestion • US Volunteer Parking (Shuttle Route) • OClub • Military Clothing & Sales • NCO Club • 18 MDG Front Parking Lot (no bus – walk to Clothing Sales/NCO Club) • No Shuttle • 18 MSG, 18 CONS, AFSO21/Recruiters Office, Education Center, Marek Park
Transportation All Volunteers • Gates open at 0600 • Shuttles will begin running at 0615 • Arrive early – buses will be scarce after 0800
Nerve Center All Volunteers • Support and contingency coordination • Direct Link with Command Post • Translators at main Nerve Center and Info booth • Lost and Found for objects and people • Maps and Schedule of Events • Crisis Team
Security Forces Topics All Volunteers • Anti-terrorism/Force Protection • Not recommended to bring backpacks or personal baggage • Watch for people trying to leave perimeter • Report unattended bags/packages to • Security Forces or KSO Command Center • Evacuation Procedures • Stay with Athlete/Assist with Evacuation • Go to evacuation area, account for everyone

Rules to Follow Huggers Have FUN! Sign in at the Risner Aerobics Room (on the side) NEVER leave your athlete and their family at anytime If the need arises, go to Tent Monitor for positive handoff ISSUES or PROBLEMS contact: Nerve Center Team (Yellow polo shirts) KSO Committee members (Blue polo shirts) Someone with a radio When your athlete goes home, check out with your tent monitor
Rules to Follow • Keep safety in mind at all times • Don’t take anyone outside Risner perimeter unless they have the proper id or visitors pass • Don’t sign up – and then not show up! • This is a commitment - Ripple effect…. • Don’t leave to eat at Chili’s/Bowling Alley/etc until you are finished • Food provided
