Disclaimer: There are many different ways to network with Taxware as the program is extremely flexible. You should talk with your computer/network technician to determine the best way to set up your network. In the tax program(s), the data directory setting can be changed. This allows the tax preparer to choose where they want data to be stored– which can be a shared network folder. In this presentation, we will cover 2 network configurations. In either scenario you will have to choose ONE computer to act as your Server. When you have chosen your Server, perform the install on that Server machine first. -We recommend that you speak with your technician to determine your individual needs and help resolve any concerns that arise. Remember: The following instructions are suggestions only.

SCENARIO 1 – Step 1: Create and Share a TaxwareFolder • Double click on the My Computer icon on your desktop and double click on Local disk C:. • Right click on any clear space inside of the Local disk C: window and right click, select New and then Folder. • This will add a new folder inside of Local disk C:. Type Taxware as the name of this folder. Now, we need to share the Taxware folder. Depending on your OS, this process is a little different: Start by right clicking on the Taxwarefolder that you just created and select Share or Sharing and Security. Step 1 (cont): Windows XP Having selected the Sharing and Security option, the Folder’s Properties window will open. Click the line of text that says, “If you understand the security risks and still want to share click here.” When prompted, click the circle next to the “Just enable file sharing” option as shown below and click OK.
Step 1: Windows XP (cont.) • In the “Sharing” tab in the “Taxware Properties” window, check the boxes next to “Share this folder on the network” and “Allow network users to change my files” • Click on OK. Continue to Step 2: Map Network Drive
Step 1 (cont): Vista/Windows 7 After selecting the option that says Share… Click on the arrow to reveal the drop down menu and choose Everyone (or choose who you want to share with).
Step 1: Vista/Windows 7 (cont.) • Click Add and then choose the permission Co-owner or Owner. Then click Share. • It may take a few minutes but you will get another screen on which you will need to click Done.
Vista/Windows 7 You will be back at your hard disk and the Taxwarefolder with a new icon next to it. Right click the Taxware folder, choose Properties, choose the Share tab and click the Advanced Sharing button.
Step 1: Vista/Windows 7 (cont.) Click Permissions Everyone should show up, if not, click Add and add it. Make sure that Full Control, Change and Read are allowed by checking the boxes. Click OK.
Step 2: Map Network Drive Using Windows Explorer, find the folder created in Step 1. For Windows 7/Vista, right click on the file called Taxware and select Map Network Drive. (This is a screenshot for Windows 7. For XP there is a “Map Network Drive” option located in the Tools drop down menu.)
Step 2: Map Network Drive (cont.) • Now select a drive letter to map your Taxware information to (i.e. X: or T: this can be whatever you want. The default is Z: • Click Finish. This will open the new Drive.
We are now ready to install Taxwaresoftware. Remember: the way we are setting up the network means only one computer will have Taxware installed on it. DO NOT INSTALL THE PROGRAM ON ALL THE WORKSTATIONS FOR THIS INSTALLATION. Click here to create workstations for Scenario 1 Click here for Scenario 2: Network Data Only *If you wish to install the program on each workstation, click this button to go to Scenario 2. *If you wish to install the program on the network, and create workstations, click this button to go to Scenario 1.
Step 3: INSTALL TAXWARE ON THE SERVER • Insert the Taxwaredisc into the CD/ROM drive of your PC and the install menu should pop up. • If the install window does not automatically open, double click My Computer, and double click on your CD/ROM drive to open the Taxware10 (or 11, etc., depending on the appropriate year). Then double click setup.exe. • On the Taxware software install window, choose to install any of the programs you wish by following the setup instructions below. LEAVE THE MASTER TAX MENU PROGRAM UNTIL LAST.
Step 3: INSTALL TAXWARE ON THE SERVER (cont.) • First, click on Browse. • Next, double click the Taxware folder then OK. • The Destination Folder’s data path should then show C:\Taxware\10Wintax • (or 11Wintax, etc.). Click Next.
Step 3: INSTALL TAXWARE ON THE SERVER (cont.) Follow the next few instructions until you get to the screen that asks if you want an icon on your desktop. If you are using several of our tax programs it is suggested that you allow an icon on your desktop for the Master Tax Menu and possibly the Individual Tax. It is not recommended to have every program icon on your desktop as this clutters your desktop. You may launch all of our programs from the Master Tax Menu. • After the program installs, click Finish. Repeat this process to install any other desired programs, culminating in the install of the Master Tax Menu. Use the following button to review those steps. • It is recommended that you install the Depreciation/Assets Manager module as well (if you have clients with Depreciation). Note 1: the states are included…there is not a separate install. Note 2: please do not run the Master Tax Menu until all your programs are installed. Note 3: Launch the Individual Tax program and it will take you through the New Office Wizard to set up the defaults, preparers, etc. (In Corp, Partnership, etc. you will need to set them up manually the first time). This information carries from year to year through our Master Tax Menu New Year Wizard. Please set up all this information before moving on. The client ID number requested on Default Set up is on the Taxware Licensing agreement and will be necessary for updating. Once you have set-up all the settings, please update the programs through the Master Tax Menu or in the respective programs by selecting support at the top of the page and choosing Check Internet for Tax System Updates. (see following screen shots). If the program updated you should see a new version date. Click Here to Repeat Installation Process
Step 4: Create the WorkStations Warning: No workstations can be running when updating the programs, ever. All updating occurs at the server level. • Select the TWworkstation Set-up in the Miscellaneous programs section of the CD’s setup screen twworkstationsetup2010.exe (or 2011, etc.) and run it on each work station or terminal. • Follow the instructions on the screen for the work station install. Pay close attention to the fact that the User can be only 8 characters and the station # has to be two digits. Once again, allow for the icon on the desktop and click Finish. • Install the Master Tax Menu (if other programs besides the individual tax system are being used) to the local drive of the workstation. • Launch the Individual Tax Program on each workstation by double clicking the TW1040 icon or double click the Master Tax Menu icon and choose #1. Once launched, select #2 Data path and set the data path to the same data path as the server except with the mapped drive letter. It should be path #1. Next: Set up defaults
Scenario 2 – Network the Data Only Installation With this type of installation there can only be one transmitting computer and each terminal will need to be updated. One of the advantages of this type of installation is when there is large volume, there is very little slow down of the system. Another advantage is that if the server goes down you can still prepare taxes on the workstations. Once the computers are networked, install the programs on each terminal using the following instructions. You need only to have a folder that contains the data on the server. On the main screens of the tax programs simply point each program to the data path of the server. • *Scenario 1 includes instructions for mapping a network drive and creating a shared folder, if you do not already have your Network set up, you can see those instructions by clicking on the button: Warning: if installation of the program is on each terminal and all terminals will be printing 8879s from the same default ERO, then a different DCN start number must be established on each terminal in the ERO information or you will get duplicate DCN rejects. If you decide to change it, first, click on Browse. • Then double click the desired location and click OK. • The Destination Folder’s data path would then show C:\Taxware\10Wintax • (or 11Wintax, etc.). Click Next.

Setting The Data Path As an example we have used the Individual Tax System from 2009, however, it is the same as 2010, 2011, etc. Choose option #2 Data path. You will only see your local hard drive data paths listed. Note: #3 Prior Year Data Path must match the prior year’s tax software current year data path. If you don’t know it, launch the prior year program and check. *If you are a new client make them the same as the current year yet with the prior “year number” in the data path (ex: C:\09wintax\08data).
Choose path #1 and the prompt will ask you if this is the correct data path. Click No. Setting The Data Path (cont.)
Setting The Data Path (cont.) The system will then let you browse for the server path. You may also manually type in the server data path. Once you have typed in the data path simply hit the Enter key. If you searched for the data path, simply click the Select button.
Copying workstation set-up files At this point, you will need to go through the program to enter all your set-up information (Preparer, ERO, Transmitter, billing, Client letter, Etc.) and defaults/settings. The easiest way to set this up is by following the prompts from the New Office Wizard. Once you set up one workstation completely you may copy those set-up files into the program paths of each workstation. First make certain that your version date is 10/13/2011 or later (if not you would have to retype the data, or manually copy the files listed on the last slide into the directed folder). If your system is not up to date, please see Note 3 on Slide 17. Now choose option 16 “Misc Features”
Copying workstation set-up files Scroll down to #13 Copy System Files. You will have the option to choose where the system’s files are copied to (memory stick, network drive, etc.) so please make certain you have a folder in a location set-aside for containing the copied files. Take the copied files and place them into your Individual Tax, Corporation, etc. program paths. The program path names found on the local drive are: 10Wintax, 10WCorp, 10WSCorp, 10WPtnr, 10WFiduc. If you created a Taxware folder on the local drive, they will be found in the Taxware folder.

If your version date is 10/13/2011 or later, the instructions for copying these files was just covered. If your system is not up to date, please see Slide 17.
