Project Goals • Provide undergraduates with access to current and evolving communication & collaboration services • Provide students more services & resources than possible in-house • Avoids forklift infrastructure upgrade & ongoing maintenance • Shift personnel resources away from maintaining commoditized services CHECO Presentation
Implementation • 21,000 Active Undergraduates, 20,000 'others' (applicants, graduates, etc.) • Opt-in started October, 2008 • Mass migration process moved from January to Spring Break • Over 18,000 students opted in before cutover • Email address changed for students from @colostate.edu to @rams.colostate.edu CHECO Presentation

What’s Left? • Mopping up exceptions • Migrating central student web space to the Colleges • Retire undergraduate web/email server, June 2009 • Training for faculty - Leveraging collaboration opportunities CHECO Presentation
Take Aways • The 3 most important things; communication, communication and communication • Students, obviously • Campus IT Coordinators, faculty and staff! • Strike balance between accuracy, brevity and urgency • Make sure the timing, what is changing, and implications are all understood • Mid-semester migration can work • Avoids confusion upon return to new semester • Change is hard, regardless of the timing CHECO Presentation
Take Aways (2) • Exploit existing student applications • Natural venues for communication and instigating desired actions • For us, student portal and 'registration ready' • Beware of some institutional processes, for instance; • Timing of official University Communications • financial aid • student account status • graduation information • Etc. • Listservs • Gains are not short-term, but it looks good for long-term CHECO Presentation
