PV2020 @ CERN Brief Update – October 2019

  1. PV2020 @ CERNBrief Update – October 2019

  2. Reminder – Goals @ PV2019 • Attract more scientific communities • Broaden information exchange, sharing of experiences, tools and even services • Keep in step with (or ahead of) funding agencies / policy makers in their push for LTDP & OD

Done • Dates fixed (12 – 14 May 2020) • Rooms booked (CERN main auditorium & Council Chamber plus coffee / poster area in between) • Preliminary budget based on morning / afternoon breaks & sandwich lunches  registration fee of “only”CHF 200 • NEW – on-site dinner: will increase fee slightly but logistics of buses from CERN too complicated • Plan breaks & poster session in the area between the 2 meeting rooms – room now booked. E-posters as per iPRES look too complicated! • Main restaurant, bank, post office, travel agent etc. in the same building • Contact made with PASIG (to avoid date clashes) & iPRES2019 (synergies?) • No vendor sponsorship foreseen so far

Todo (2/2) • Confirm Local Organising Committee & Tasks, e.g. as per LISA manual: • The Local Organizing Committee's primary responsibilities are all on-site arrangements and logistics before, during and after the meeting. Most of the tasks are carried out in close cooperation with the SOC and/or FOL. Specifically, the LOC • sets conference dates and fees • verifies that meeting rooms, including technical support and equipment, are available • arranges potential lodgings (if possible at reduced group rates) – standard list of hotels will be provided online. BOOK VERY EARLY IN GENEVA! • distributes announcements (with SOC), takes care of publicity, prints the program booklet, designs and prints the conference poster, hosts the conference website – use also other channels such as DPC lists • arranges social events (refreshments during breaks, reception, conference dinner) and field trips • obtains local financial support and merchant/vendor sponsorships including goodies for the 'welcome bag' • organizes registration and other administrative details including guidance and signs at the conference venue • provides city maps and tourist information – will be provided online • explains how to reach the conference site from the airport and train station • takes care of the general 'running around' and problem solving at the time of the meeting • hires a photographer • does the post-meeting clean-up including return of equipment, payment of outstanding bills etc.

Questions • Pre- & post-conference workshops • Proceedings: IMHO e.g. “data science journal” too heavy – publish in Zenodo? • Workshop dinner now foreseen on-site • Additional to conference fee • CERN visits • Group sizes are limited – probably need 10-15 groups depending on number of attendees

Tentative Schedule – Day 1 • 08:00 – 09:00 Coffee and registration • 09:00 – 09:30 Introduction to PV2020 and welcome • 09:30 – 10:15 The CERN Science Gateway Project; LHC Run3? • 10:15 – 10:45 “Minute Madness” – intro to posters (PV2018 chair) • 10:45 – 11:15 Coffee & posters • 11:15 – 12:15 Parallel sessions • 12:15 – 13:30 Lunch • 13:30 – 15:30 Parallel sessions • 15:30 – 16:00 Coffee & posters • 16:00 – 16:45 Another plenary, e.g. ESCAPE project, Blue Brain (see also above) • 16:45 – 17:30 Panel discussion • 17:30 – 18:30 Drinks

Tentative Schedule – Day 2 • As Day1 but 3 keynotes: beginning of morning, beginning of afternoon and end of afternoon (after panel discussion # 2) • Possible plenaries include ARCHIVER, XDC, … • Can we get EU to give a keynote? • Portal demos? • (optional) Conference dinner (extra cost) • Lighning talks? 90’ (Better than day 3 as time for feedback and discussions)

  11. Tentative Schedule – Day 3 • Introductory plenary • Parallel sessions / lightning talks, as iPRES? • PV2020 publication • Best paper / poster awards • Closing talk: PV2022? • Total of 6 plenaries plus PV2022 talk

  12. Sessions As usual, there will be four sessions, this time focussing on the following outline areas: • Session 1: Ensuring long-term data and knowledge preservation (the "P" in PV); • Session 2: Adding value to data and facilitation of data use (the "V" in PV); • Session 3: Short - medium term issues related to policy, technology, guidelines, FAIR / TRUST principles, certification; • Session 4: (Very) long term issues.
