Publish Gulf States Leader newsletter three times a Fiscal Year • Promote the exchange of ideas and information between chapters • Establish, maintain direct communication with, and provide assistance to Chapter Editors • Submit Region Committee Report Form as required by the GSR Operating Guide

Form a Committee
Identify the Publication Date and Production Schedule • Design the Lay-Out • Plan the Content • Establish the Financing
Set each Monthly Issue Date • Set copy deadline date, send e-mail reminders • Set the Monthly Meeting Date • Set the Board Meeting Date • Allow for early determination of Special Events • Allow early notice of what issues need to moved forward or moved up. • Allow planning of Special Articles, Institute Director’s reports, Guest Editorials
Think about readability • Size may not matter but Format, Content and Presentation does • Consider arranging elements in fixed locations making it easy for readers to find favorite monthly features • Use the 4-C’s of specification writing: Clear, Complete, Concise and Correct • Create a balance between body text and graphics • Try to number the pages
A series of related articles adds interest • Relate the content to the upcoming meeting, current CSI news or industry issues • Plan recurring articles well in advance so you can begin working with the author right away and give them plenty of time • Some items should always be there • Other items can rotate in and out to provide for flexibility and variety

Will the Chapter subsidize the publication or will it support itself? • How will revenue be generated? • If there will be revenue from the Publication, don’t forget to check the Tax Laws • Be careful of the ratio of advertisements to content. Too many business cards can look cluttered without enough text for balance • Consider general Publication sponsors with multiple coverage especially for electronic publications

Editing • Study and restudy Institute Guides • Find weak spots in your current newsletter and strengthen them one step at a time • Involve the President, obtain adequate staff • Keep audience in mind and make materials relevant to them • Plan several issues ahead • Polish, improve and condense copy but maintain its meaning • Get personal, but pleasantly
Editing • Request and read 10 other newsletters • Ask for help when needed, consult others for advice • Double check names, addresses and figures • Rearrange paragraphs when necessary to achieve a logical sequence • Guard against inclusion of old, stale news just to fill space • Build people and CSI up • Have fun!!!
Inform Membership of Chapter, Region and Institute Business and Goals • Print timely news and articles • Allow editorial freedom, coupled with responsibility, good taste and good judgment • Avoid misleading the reader by any means what so ever • Avoid sarcasm, arrogance, insult or statements that might embarrass or injure anyone • Avoid foul language • Use humor sparingly and tastefully
Electronic Distribution • Size of File: Be courteous of your member’s resources • Readability: Do you plan for the document to be read on screen or printed, then read • Format: Computer Screens are typically horizontal while sheets are vertical • Graphic Images: Create them carefully, they can create huge files • Color is FREE!
Electronic Distribution • Send the files, do not expect members to go and get them • When you attach a file include a list of contents to grab their interest • Keep file sizes small • Include links to web pages for additional content

Communication AwardThis award is presented to a CSI member, chapter, region or group for outstanding effort in the communication of CSI related topics and activities. Nominations submitted for this award include, but are not limited to: continuing publications, syndicated columns, email communications, social media, blogs, websites, and special publications such as rosters, directories, posters, videos, and calendars.
