Arranging a professional appointment Situation: You want to arrange a meeting between yourself and your peer at BP who’s working with you on a project. • Step 1: Because of your good working relationship, you think that the person at BPwould be receptive (open) to meeting with you. • Step 2: You’re arranging this appointment because you want to figure out how BP’s and CNPC’s management processes will affect you both on a day-to-day basis. • Step 3:“The reason I’m calling is…” • Step 4: Your mental logic flow: example of why we need to do this; when to have appointment; where to meet
Arranging a professional appointment Jin: Hi, Bob, it’s Jin Hu in Drilling at CNPC. We haven’t talked for a few weeks. How are you? Bob: I’m fine, Jin. I hope you are as well. I just returned from vacation on Hainan Island where I played a lot of golf. Jin: That sounds great. Perhaps I’ll go there for my next vacation. Bob, the reason I’m calling is to arrange a meeting between us. At the management level, BP and CNPC understand our respective corporate approaches to managing safety and risk. But as middle-level drilling employees, we need to understand how these approaches will affect us in our day-to-day duties. Bob: Gee, Jin. I hadn’t thought about that.
Arranging a professional appointment Jin: Well, for example, let’s say that we need to drill a well that’s deeper than usual. According to BP’s new safety and risk management approach, we need to file and wait several weeks for approvals. But, CNPC uses a slightly-different method. So how would we handle our drilling request? Bob: I see your point(understand what you’re saying). Jin: If it’s convenient, let’s you and I meet next Tuesday afternoon. I need to be in your building to deliver some paperwork on cement orders. Would about 3 pm work for (be convenient for) you? Bob: Sorry, Jin, I’ll be out of the office that day at a company meeting.
Arranging a professional appointment Jin: How about next Friday, June 10? Bob: That sounds fine. Jin: Would 1 pm work for you? Bob: If you come around noon, we can eat lunch and talk about my vacation. Then we can meet in the conference room near the cafeteria. Jin: That works for (is convenient for) me. I look forward (phrase you often use to confirm an appointment and toward the end of a conversation) to seeing you on Friday, June 10 at noon. I’ll call you when I arrive in your lobby. Bob: Thanks, Jin. See you then.
