Users and Defaults • All USERS Require a Strong Alpha-Numeric Password for TaxWise 2010 • Eight characters including at least one number, one upper and one lowercase letter • Desktop Password must be changed annually • TWO Password must be changed every 90 days • Users and Passwords set up in SECURITY MANAGER by ADMIN

Users and Defaults • Create or Modify TFDs in “Admin” before allowing a User to create unique TFDs • Main Information Sheet and 8879 Defaults • “Admin” TFDs transfer to all existing or new Users, unless the User is authorized to create and modify their own TFDs Note: A new User that is permitted to create unique defaults will initially have the “Admin” TFDs

Users and Defaults • Security Manager has two Tabs • Groups • Users • Use “Groups” Tab to add or modify Groups and to specify the allowed tasks for Users assigned to the Group • Use “Users” Tab to add or modify Users and to assign to a Group(s) Note: The default for new users is to be assigned to the “SuperUser” group which is not allowed to set unique TFDs

Users and Defaults • Suggested “Groups” • “Counselors” - does not permit the Users administrative functions including “Transmitting” and use of “TaxWise Explorer” • “Defaults” – permits the Users to add or modify TFDs • “EROs” – permits same tasks as “Admin” except access to “Security Manager” Note: Users in Groups permitting more privileges than “SuperUser” must be removed from the “SuperUser” group or it will block their additional privileges

EFIN Authentication • EFIN authentication blocks the restoring of a return if the EFIN that was used to prepare the return is not registered on the computer. • EFIN authentication also blocks the Carry Forward function of Prior Year Data if the preparing EFIN is not registered. If XMIT code EFIN is replaced by Exception 3 primary, it is expected that carry forward will work. Note:Computers with Multiple EFINs using XMIT Codes meet this requirement

  16. Carry Forward Prior Year Data • Prior Year Taxpayer information (name, address, SSN, etc.) can be retained and used in the following year. • Process is automatic with TWO • TW Desktop – use the prior year backup media.

Carry Forward Prior Year Data • TW Desktop Procedure is…. • Install 2009 TaxWise and restore the Returns of the Taxpayers. • When installing the 2010 TaxWise, say yes when asked if you want “prior year data” or if TaxWise 2010 is already installed, select “Carry Forward” from the “Tools” menu.

  19. Setting Up a Client Letter From the Admin user, open tax form defaults. From “Add a Form” find “Letter”. The text will look confusing; just ignore that for now. All the data is pulled in from the EFIN setup information and from the open tax return. You may edit any narrative information contained within the [ ] brackets, or just add your own text at any point (no brackets needed). Cloning TaxWise • Cloning is the transfer of a completely installed TaxWise system, with defaults, print packets, users, prior year carryforwards, etc. already defined and tested, to additional standalone or network server computers, without the use of the TaxWise CD. • It’s much easier and faster than doing a new install from scratch on each computer.

  21. Cloning TaxWise • Use a flash drive or CD for cloning. A minimum 512 Meg Flash drive is recommended; larger if multi-years are included or if TPDATA.TC is copied. (Flash drive is assumed for these instructions.) • Make sure the computer being cloned does not have a Workstation Number! In the UTSxx folder the only setup file should be SETUP.0, not SETUP.101 or other number. See “TaxWise Clones and Workstation Numbers” on AARP Extranet.

  22. Cloning TaxWise • First set up and test one computer with all updates, defaults, users, etc. so that it is completely ready to go. Remember to carry forward prior year data. • Next, copy or zip (preferred) the entire UTSyy folder to a flash drive or copy the entire TPDATA.TC folder (zip not necessary because the folder is encrypted).

  23. Cloning TaxWise • Remove the flash drive and place it in one of the USB ports of the target computer. • Copy or unzip the UTSyy folder from the flash drive to the the target computer: C:\ drive on IRS computer, or TrueCrypt volume (e.g. P:\) on non-IRS computer. A TPDATA.TC folder is copied to the C:\ drive on a Windows XP machine.

Cloning Process, Cont’d. • Navigate to the UTSyy\TWTech folder on the target computer. • Run the setup.exe file in the TWTech folder. • It will set up an identical copy of Taxwise to run on the target computer, including a desktop icon. • Change starting DCN if cloning to standalone computers for the same site.

Cloning Process, Cont’d. • If using the same clone to set up servers for different sites, remember to change SIDN, site name & address, EFIN, etc. in Setup and Tax Form Defaults on each server once TaxWise has been installed and before setting up that server’s workstations. • Remember to install on the TrueCrypt volume on non-IRS computers!

  26. Cloning TaxWise • It is Recommended that the “first” TaxWise installation on each computer be from a TaxWise CD before using a Clone. Then replace the UTSxx folder. • Installs support programs and Registry changes • AARP & IRS Computers meet this recommendation when received

  37. Modernized efile (MeF) Modernized efile is a replacement system for the processing of efiles by the IRS. TaxWise will begin phasing in MeF in the 2011 filing season (2010 TY). This IRS process improvement will make many of your Acknowledgements almost immediate, and provide better reject explanations.

  38. Modernized efile (MeF) IRS is rolling out 1040 MeF in three-phases over three years: The first phase of 1040 MeF occurred in February 2010 and includes Form 1040, and 21 1040-related forms. The second phase of 1040 MeF occurs in January 2011 with hardware and code optimization. The third phase of 1040 MeF occurs in January 2012 and includes the remaining forms for individual e-filing – 129 additional forms.

  39. Modernized efile (MeF) If a tax return contains only these forms, the efile will be an MeF return. These returns will have a Submission ID number assigned instead of a Document Control Number. If the return is rejected and resubmitted, a new Submission ID will be assigned.

WHAT’S PLANNED FOR TAXWISE 2010 Desktop Version will allow switching back and forth between the FORMS or the INTERVIEW method to complete the return as in TaxWise On-Line TaxWise 2010 will also include an INTERVIEW for State Tax Returns You will be able to efile amended returns TaxWise 2011 will allow for efiling a NY State only return

WHAT’S PLANNED FOR TAXWISE 2010 Counselor and QR initials will be entered in Preparer Use fields 13 and 14 and QR is recommended (soon to be required) to be done on computer – no more paper QR Some attachments previously requiring the 8453 form can be efiled with the return in .pdf form – You’ll need a scanner, however. Rejection error messages are to be simpler. Use Schedule C instead of C-EZ.

  42. WHAT’S PLANNED FOR TAXWISE 2010 There is a new Desktop Site License Exception 3 that allows an ERO to use one single EFIN for multiple sites. The ERO must transmit all of the returns with the same computer.  Sites choosing to use this exception must indicate it at the time their software order is placed.If exceptions 1 or 2 apply do not specify exception 3 as CCH charges a license fee for each exception 3 site. Separate TaxWise users will be created, each with the unique site information (SIDN, site name and address, etc), that will be used to identify returns prepared at the different sites. If TW 2009 had a Primary EFIN and an XMIT EFIN and the XMIT EFIN is to be cancelled, you should be able to carry forward for both EFINs.

WHAT WAS NEW FOR TAXWISE 2009 • Desktop able to use print setup to automatically print acknowledgements • There is a new user group, Return Manager, that has all Superuser functions plus the ability to view and edit returns of all users • Can add a watermark to File copy, Federal copy, and State copy printouts to make it easy to see copies that are to be retained by the taxpayer - This could help ensure that the taxpayers don’t mail in tax returns that were efiled.
