Set Goals • Membership is the heart of PTA. Along with the entire board, the president, school principal or administrator and the membership chair are partners in guiding and directing the membership committee in a successful membership campaign. • The membership committee should meet before the beginning of the school year to establish the membership goals, design the membership and outreach promotion, and plan year-long duties and activities. The membership plan must be approved by the executive board.
How To Prepare Goals • Obtain procedure book from previous membership chair. • Meet with PTA president and membership committee: membership chair, treasurer, room representative coordinator, publicity and hospitality chairmen, school administrator, teacher and student (PTSA). • Study last year’s membership committee plan results. Set goals. Prepare a budget. • Adopt a membership theme. • Create a membership calendar. September/October are designated as PTA membership enrollment months, but membership can be sold all year. • Plan a membership promotion campaign.
How To Prepare Goals… Cont’d • Present year-long membership plan to the executive board for approval. • Contact council or district PTA for current membership information and PTA materials. Refer to www.gapta.org. • Attend PTA workshops designed to train and assist membership chairs. • Contact Georgia PTA to order envelopes after confirming price. Membership cards are provided at no cost by Georgia PTA and are obtained at Leadership Training in July. Additional cards may be ordered through Georgia PTA once sold. For every membership sold, $2.75 is paid as dues monthly to Georgia PTA.
Managing Membership Responsibilities:Membership Cards Membership cards are received at the Leaders Training Conference. The number of cards is based on last years membership numbers. (Cards can be mailed with a prepaid Shipping & Handling fee of $10.) More cards can be obtained from state if 75 % of dues have been paid to date. Card template can be downloadedfrom www.gapta.org.
Managing Membership Responsibilities:Membership Lists • The membership chair is responsible for maintaining a current and accurate list of members, in cooperation with the secretary. Lists need to include names, addresses and emails. • You can use the Online Membership Data Reporting (OMDR) system to help with you membership list (www.gapta.org). • You can maintain a written list or your own spreadsheet format if you prefer not to use the internet.
Managing Membership Responsibilities:Membership Dues • Each school determines the dues amount for which the membership chair is responsible to collect. • A portion of all dues collected belongs to the National and State PTAs ($2.75). The units treasurer must send in this portion for enrolled members monthly using the “Dues Transmittal Form”. • The membership chair needs to workclosely with the treasurer to ensure accurate reporting of membership dues.
