Introduction • CBA at KSU believes that Information matters. To compete in a real-time world, you always need to deliver accurate, real-time information to everyone in a business so that they can effectively respond to changing conditions and make smarter decisions • CBA also believes that smooth workflow is complementary to delivering information. • Accordingly, it is our belief that electronic management of information and documents is indeed a prerequisite for effective advocacy in achieving and sustaining quality and hence accreditation.
Introduction • In Moharram 1431, CBA has decided to establish the Document and Information Unit (DIU) and assigned it the task of digitizing the faculty • DIU will provide a virtual space that allows easy information transmission and that automates all business processes at the college • DIU seeks to work in partnership with others toward achieving this goal.
Introduction • Information is provided and disseminated on three main bases: • Periodically: at specific period of time, such as end of terms, relevant information is disseminated to relevant consumers • On-demand: Based on the request of specific consumer, Information is identified and provided. • Instantaneously: based on some triggers to inform about changes that need immediate attention and action.
Mission • To provide the faculty, university, and community with accurate, real time, comprehensive information on every facet of the CBA including students, staff, graduates, teaching, and research • To electronically manage all the faculty documents including work processes, procedures, forms, and cycles in an efficient, easy-to-access way.
Vision • DIU envisions the CBA as a leading Information-Driven Digital Enterprise that promotes new ways of electronic management of information and documents for all local and regional academic institutions.
Objectives (I) To accomplish the mission, the DIU performs the following tasks: • Regarding the information • Identifieskey sources of data best suited to meet the information requirements of our consumers; • Collectsdataor identify data-linksutilizing our extensive network of partnerships; • Analyzes data using expertise and applying proven technologies to determine significant trends and relationships; and • Disseminates information of value to all relevant consumers.
Objectives (II) • Regarding the Documents • Identifiesdocuments that need to be managed electronically, including work procedures, forms, cycles, official letters, etc; • Classifies and organises the documents in a coherent structure on a web application; and • Forges interdisciplinary collaborations among faculty administrative and academic departments with respect to managing and circulating documents electronically; • Popularises the use of the electronic documents and digital signature.
External Partners • Most of the university deanships and administrative departments are of great interest to us. However, we start with the following: • Deanship of Admissions and Registration • Deanship of Graduate Studies • Deanship of Faculty and Staff Affairs • Deanship of Student Affairs • Deanship of e-Transactions & Communication
Internal Partners • All of the faculty entities are of great interest to us. However, we start with the following: • Student Affairs Unit • Graduates Affairs • Academic Affairs
