UPO 2/2/12 Discussion: Cost Estimates and Tracking Money Matrix shown at RRB October 2011 • For projects in the Technical Proposal (Note: Some projects costed in M&O_B, not the Upgrade MM (HO SiPM, Castor)) • Each Project provided a profile by calendar year for the MM number • Total for MM = 64,447,000 CHF • Guidance for FA’s is cost sharing by PhD count, with early funding in cash for “Common Fund” at 10% of this prorated share

  3. UPO 2/2/12 Discussion: Cost Estimates and Tracking RRB Reporting categories • Andrzej needs to set up a common set of <20 categories for reporting costs. He asked the project resource managers for comments based on the M&O_B categories. • Categories common to all projects (some will be blank for some projects) • Comments/Questions • Missing items, egdetector sensors… • Drop the “standard electronics” words, but keep the same three categories: • Power supply systems • Electronics crates and infrastructure • Readout Electronics • Should “Areas” be “Assembly and Test Facilities”? • What is “Communications”? Drop “store items”? • “Manpower”? Not included in the MM? • Agree on specific proposal next UPO

UPO 2/2/12 Discussion: Cost Estimates and Tracking Work Breakdown Structure and MM For internal planning: re-order the MM columns into the following categories • LS1 projects • Each maintains a WBS breakdown with cost estimates and FA assignments • If necessary: one column for MM cost estimates and another for current estimates • A column for Cost-to-Complete (for current estimate) with comments on any funding issues • TDR projects • Maintain a WBS breakdown with cost estimates as in MM and an updated estimate (new table) for the TDR • And a working model for FA assignments • Include columns for R&D costs (ahead of project approval) and production costs, again with FA assignments, and with Cost-to-Date for the R&D. Add comments on any funding issues • And a column per calendar year for the TDR estimate to make a new profile • Common Projects • WBS with cost estimate per year • For MM and current update

UPO 2/2/12 Discussion: Schedules and Milestones LS1 Projects • Martin Gastal has a set of milestones from each project (from last December) – will post these on a twiki • We will ask for updates in the next two weeks • mid-level Gannt chart for the project • set of mid-level milestones • These will be linked into master schedule for LS1 – maintain ~monthly • TC: 2-day workshop in April to consolidate integrated planning for LS1 TDR Projects • Request mid-level Gannt chart and milestones for the TDR version of the projects • We can make a template so they can easily be combined into a Phase 1 consolidated schedule – need a contact person per project • Will review these along with the technical scope for the TDRs, ahead of May CMS week

UPO 2/2/12 Upgrade web pages Upgrade home page : https://cms.web.cern.ch/org/upgrades • Proposal to have similar iCMS webpage for all groups • Accessible from main menu bar and from Upgrade home page • Twikiand link to upgrade home page to be updated by group conveners • Use “HL-LHC” in place of “SLHC” • Documents storage • DocDB for reports… • DropBox for common file • CVS for TDRs • Meetings • Indicocategory to be linked in right side links of web page • Can be created under upgrade (example cross-coordination) at https://indico.cern.ch/categoryDisplay.py?categId=1784 • An Upgrade calendar will be created • See https://cms.web.cern.ch/news/cms-calendar-now-google-ical

  8. UPO 2/2/12 CMS week proposal under discussion CMS Plenary includes a summary Upgrade talk General Upgrade Meeting Upgrade Working Groups (maybe moved to Friday)

  9. UPO 2/2/12 Next meetings • Offline-PPD-Computing meeting on February 6 : • Review plans for code deliveries and data sample production in 2012. Especially dedicated to freeze code and release for simulation work for detector and physics performancein TDRs. • UPO: • Every two weeks from now on except during CMS week • Next meeting agenda will include status from Electronics and Online system coordination (following electronics week Jan 23), Report from cross coordination on software/release/MC plan • Proposal to have group news attached to UPO agenda (few text lines sent by mail to UPMs) (bulletin needed for the 17th of October). Issues or progress presentations at request of UPMs and group responsible. • UC-PC workshop on performance simulations (March-April) • UC-TC workshop on LS1 schedule (probably 3rd week of April)
