Portfolio Requirements As part of your DEA diploma you must produce a portfolio of work The portfolio is broken up into 4 units; Unit 1 Conduct Energy Assessments in a Safe, Effective and Professional Manner. Unit 2 Prepare for Energy Assessments of Domestic Property. Unit 3 Undertake Energy Assessments. Unit 4 Produce and explain Energy Performance Certificates Relating to Domestic Property. Examples of the documents are available on the course link www.stroma.com/course/abbedea

  3. Portfolio Requirements • Once you have completed the DEA course you will be issued a OneFile Username and Passwordby Email. • OneFile is your Electronic portfolio system you will build your portfolio by uploading evidence produced on your computer. • The tasks will be given to you in stages.

(Unit 1) Task 1 - Answers to the D.E.A. knowledge and understanding questionnaire

Portfolio Requirements Task 2 - A written statement describing your business relationship with customers, meeting all the unit criteria • How I carry out my work in accordance with: the relevant legal requirements, prescribed codes of conduct and auditing and monitoring requirements • Action I take to protect the customers’ property and information • How I maintain goodwill and trust • How I request and handle information • How I handle a dispute or difference of opinion • How I handle a conflict of interest • How I maintain my personal image • My professional indemnity insurance requirements • How I maintain an appropriate level of service and manage expectations • How I recognise my own limits and competence.

Portfolio Requirements Task 3 - A business pack of 5 letters, meeting all the unit criteria in the evidence requirement document. • Responding to a question. • Answering a question that falls outside area of expertise. • Declining an instruction giving reasons. • Responding to a request for confidential information. • Responding to a complaint or difference of opinion. Task 4 - A written example of your Time Management system. Task 5 - Your Personal Development Plan. (PDP) and a written statement of yours, commitment to Continuous Professional Development (CPD) as a DEA. Task 6 - A preliminary Health & Safety assessment record for a DEA.

(Unit 2) Task 7 - A written statement describing your preparations for carrying out a DEA meeting all the unit criteria in the evidence requirement document. • How I respond promptly to the customer’s request • How I establish that the assessment falls within their competence. • How and why ratings can change with time and conventions • How to identify circumstances that prevent me from assessing the energy performance of the property • How to obtain the latest version of RdSAP • How I confirm the client’s expectations and requirements • Where representative properties and/or data collected by others may be used in the preparation of EPCs for existing dwellings.

Portfolio Requirements Task 8 - A business pack of 5 letters, meeting all the unit criteria in the evidence requirement document. • Provisionally accepting the instruction, explaining the purpose of the inspection, the legal requirement for an Energy Performance Certificate and its relevance to the Green Deal • Confirming a mutually convenient time for an inspection • Stating their terms and conditions as a Domestic Energy Assessor • Confirming their fee structure and giving an estimate of the costs involved in the assessment • Explaining why, having started an energy assessment, the inspection cannot continue any further and laying out options on the way ahead for the client. Task 9 - An example of the background research undertaken on 1 of the 5 properties chosen, showing location on maps, & relevant DEA features.

(Unit 3) Task 10 – a) A completed property grid for your first 2 chosen properties. b) Updated and revised property grid showing all 5 chosen properties Candidates need to cover all property features, heating systems and potential issues shown on page 2 of the property grid. Where chosen properties do not cover all these features, candidates will need to a written statement to cover them. Task 11 – Complete 2 Domestic Energy Assessments Task 12 – Complete 3 Domestic Energy Assessments

Portfolio Requirements Task 13 - A written statement referring to 1 of the properties, describing your methodical approach to carrying out a DEA, meeting all the unit criteria in the evidence requirement document. • the procedures followed to conduct a safe and exhaustive home energy assessment • any issues found, specific to the individual property, and how these challenges were met. • where and why accurate inspection has not been possible. • where “unknown” is used with supporting evidence. Task 14 - A written statement describing how and why data is stored safely and securely in accordance with Scheme Operating requirements, including protection and recovery systems in place in case of fire or flood.

  12. Portfolio Requirements Produce and explain Energy Performance Certificates Relating to Domestic Property. (Unit 4) Task 15 - A written statement referring to 1 of the EPC’s describing your methodical approach to preparing the EPC, meeting all the unit criteria in the evidence requirement document. • The procedure followed to prepare the EPC • How they checked that the input data and the recommendations generated were accurate and appropriate • How the EPC should be lodged • Any issues they encountered when producing the EPC and how these were dealt with.

Portfolio Requirements • Task 16 - A letter to a customer explaining that the EPC has been completed, meeting all the unit criteria in the evidence requirement document. • The Energy Performance Certificate has been completed and is available to them • All the component parts of the Energy Performance Certificate and their implications • Variations between ratings and energy efficiency measures produced by different versions of the calculation methodology, and between assessment undertaken using the different methodologies for new and existing homes • The limitations of the approved software for both ratings and energy efficiency measures • Which energy efficiency measures were considered and rejected with reasons • Where additional advice and support can be obtained • Precise meanings of technical terms • Why predicted savings may not be achievable in practice and why • The role of the EPC in Green Deal and how customers can access this • Their complaints procedure.

Portfolio Requirements • Task 17 - Statements for each of the property features, and heating systems, that has not been covered and listed in the property elements table, detailing the identification process and data entry method. Please note only features not covered on the property elements table (second page of the property grid) will require written statements.

  15. Property Matrix You must produce 5 EPCs covering: • Each of the age bands • Each of the dwelling types • Plus the additional property features and heating systems listed on the next slide

If these issues cannot all be covered in the 5 EPCs then additional statements will be required about the missing element/feature The properties in your portfolio can include your own home, and those of friends and family, but they must all be real properties which you have visited. You cannot use simulation properties. ABBE EPC Properties

Assessment Process • Pre-assessment - We will send confirmation that the portfolio has been received within 48 hours of receipt, it will have a pre-assessment to ensure all the relevant documents are included, if not you will receive a request for the missing documents. If all the relevant information is present it will be passed on to one of Stroma’s assessors. • 1st Full assessment - We aim to complete the first full assessment of the portfolio assessment within 4 weeks of the pre-assessment. • Feedback - The assessor will email detailed feedback on your portfolio and there may be elements which require re-submission or additional detail. • Further submissions - We aim to complete any assessment of further submissions within 3 weeks from the date received. • Internal Verification - Once the assessor is satisfied with your portfolio it will be verified by one of Stroma’s internal verifiers to ensure it has been assessed appropriately. • Completion - Once the portfolio has been assessed and verified, and you have passed the exam, we will inform ABBE and you will be qualified as a DEA. You will then be able to join an accreditation scheme, such as Stroma, and lodge Domestic EPCs. Please note that the time taken to complete the assessment can vary dependent upon the quality of the portfolio content and time taken for the candidate to respond to assessment feedback.

  20. Quality of evidence Photos For every EPC we require photos to backup every input you have put into RdSAP. The photo must be clear, in colour and clearly annotated e.g. This shows to the assessor that you understand what you are photographing and the importance of it within the survey Potterton Profile 40e boiler ID plate, the boiler runs on mains Gas and the G.C. Quality of evidence Floor Plans For your portfolio you need to put as much information on as possible, this will help when the assessor is looking at things like the habitable room count. some of the key information needed is; • Clearly drawn and labelled rooms e.g. bedroom 1 • Dimensions (in meters) • Party walls • Heat loss walls (HLP) Here are a couple of examples of the types of floor plans that need to be produced.

Quality of evidence Calculations • It is best practice to include a calculations sheet in addition to the ones done on your floor plans. • These should be done in long hand showing all dimensions used. • This is very useful when you have added/or taken away an area for some reason, for example made an L-shape property square then subtracted the additional area.
