Brief OCTCA/WebXam History • OCTCA (Ohio Career Technical Competency Assessment) is the statewide testing system for Career-Technical Education in Ohio • Introduced in 1993-1994 (OVCA, with OCAPs) • Web-based testing (WebXam) began with Information Technology tests in 2001 • Currently test about 25,000–35,000 students each year • About 50 different assessments • Offer several national certification tests online
How the System Works • Hierarchical, secure, with logins and passwords • DTC → Teacher → Student • Students are activated for tests (proctor required) • Students complete and submit tests, results are returned immediately • Multiple reporting formats available • Data is tracked over time, outputted for local, state, and federal reporting
Advantages of WebXam • System designed for testing in school districts • Lots of experience with statewide CTE testing • Immediate feedback to students and instructors • Powerful reporting; data warehousing and output
What’s new in FY2012 • New field tested assessments linked to Ohio Career Field Technical Content Standards • Minor tweaks to speed up administrator tasks • Summary of testing • New format modular report to show progress towards completion of sequence • Most assessments offered at no charge, including Teaching Professions portfolio score entry • Retirement of all paper-pencil testing
The WebXam Reporting System • Results are available immediately after tests are submitted • All reports are created “on the fly”
ITC and WebXam Data Exchange: Uploads At any time, school districts can request an upload of student data from an ITC to WebXam. • Each ITC has an account to log on to WebXam at www.WebXam.org. • After logging in, ITC staff uploads a data file. • WebXam staff will process the data file and add new students within 5 business days. • To avoid duplication, existing students will not receive a new WebXam account.
ITC and WebXam Data Exchange: Uploads The data file • is a plain text, fixed-length field file. • has one line per student. • includes demographics, building/district IRN, teacher, and CTE Program of Concentration. • does NOT include IEP status/testing accommodations. The CTE Program of Concentration is used to determine the assessment to be assigned.
ITC and WebXam Data Exchange: Downloads During the first week of June, WebXam staff will notify the ITCs that files (the “output files”) are available for download. The file structure has been set up specifically for entry into EMIS.
ITC and WebXam Data Exchange: Downloads • ITC staff log in to WebXam to download output files. • Data includes the student name, EMIS ID, 4-letter form ID of assessment taken, percentage score, and pass/fail indicator. • There is one download file per district. The filename is the IRN. • Only students who tested during the school year ending are included. • All students who tested are included, regardless of grade level. • Field test scores are not included.
