Welcome to Reports! Track circulation and make informed purchases using the Reports feature in Content Reserve. Contact: training@overdrive.com.
Objective In this presentation you will learn how to: • Use real-time reports to track site performance and collection statistics. • Use results to inform decisions related to purchasing and promotion. • For each report, we'll review how to enter the criteria, and then take a look at the results.
Getting Started • Login to Content Reserve: www.contentreserve.com. • Click onthe'Login' tab. • Enter your Content Reserve 'Login ID' and 'Password'.This is the same Login ID / Password used to order titles.
Reports Page • Once logged in, click on the 'Reports' tab.
Tips for Reports • Share or print a report: Report results can be exported to an Excel spreadsheet. Click on 'Create Worksheet' from any results page. • Select multiple items: Control-click to select multiple items in a drop-down box. • Consortia members: Member libraries have the option to run many reports by library.
Purchase Order History Purpose: View all purchase orders, including details. • From the 'Reports' tab, select 'View Purchase Order History'. • All columns on the results table can be sorted. • Click an Order ID to view all titles in that order. Each title then links to its detail page.
Maximum Access Orders • From the 'Reports' tab, select 'View Maximum Access Orders'. • All columns on the results table can be sorted. • Click an Order ID to view all titles on that order. Each title on the order then links to its detail page. Purpose: View all Maximum Access orders, including details.
Download Standing Orders • From the 'Reports' tab, select 'View Download Standing Orders'. • All columns on the results table can be sorted. • Click a plan to view that month's titles. Each title on the order then links to its 'Details' page. Purpose: View all download standing orders placed for your library
Download Standing • Order Estimates
Download Standing Order Estimates • From the 'Reports' tab, select 'View Download Standing Order Estimates'. • All columns on the results table can be sorted. • Click a plan to view that month's expected titles. Each title on the order then links to its 'Details' page. You can also edit your plan from this page. Purpose: View all download standing order plans, and associated titles that are not yet processed.
Activity Charts • From the 'Reports' tab, select 'View Activity Charts'. • Click the select box for 'Chart'. Then select which data to view. • View Checkouts by Day, Month, Publisher, Format, Title, Subject. • Consortia may also select 'Checkouts by Branch'. • Select 'Title Type': • Titles Owned. • Maximum Access. • Titles Owned + Maximum Access • Consortia: Select Branches to include. • Select Formats to include. • Select a Start Date and End Date. Use the Calendar to select, or enter a date in m/d/yyyy format. • Select a Sort Order. Purpose: View checkout activity.
Activity ChartsCirculation Activity by Month • Example • Chart = Checkouts by Month. • Title Type = Maximum Access + Owned. • Formats = All Formats. Your Library Branches Details: Click on any date header to view all titles downloaded for that month. Analysis: The highest rate of checkouts to date occurred in March.
Purchased Title Report • From the 'Reports' tab, select 'View Purchased Title Report'. • Click the select box for 'Reports'. Then select which data to view. • Titles = All purchased titles. • Titles by Format = All purchased titles organized by format. • Select a Start Date and End Date. Use the Calendar to select, or enter a date in m/d/yyyy format. • Select a Sort Order. Purpose: View all titles owned and number of checkouts for each.

OverDrive Community Reserve • Title Report
OverDrive Community Reserve - Title Report • From the 'Reports' tab, select 'View OverDrive Community Reserve Title Report'. • This will display Community Reserve titles currently included in your library / consortium's inventory. Purpose: View details about OverDrive Community Reserve titles that have been accepted into your collection
OverDrive Community Reserve • Title Sharing Report
OverDrive Community Reserve - Title Sharing Report • Select 'View OverDrive Community Reserve Title Sharing Report'. • This will display Community Reserve titles currently included in your library / consortium's inventory and how many libraries have selected the titles. • Click on a title to display which libraries have selected that title. Purpose: View OverDrive Community Reserve titles from your local collection and which libraries have accepted them.
Turnover Rate Chart Purpose: View turnover rates for your content. • From the 'Reports' tab, select 'View Turnover Rate Charts'. • Click the select box for 'Chart'. Then select which data to view. • Turnover Rates By Publisher. • Turnover Rates By Format. • Turnover Rates By Title. • Turnover Rates By Subject. • Consortia: Select which branches to include. • Select Formats to include. • Select a Start Date and End Date. Use the Calendar to select, or enter a date in m/d/yyyy format. • Select a Sort Order.
Your Library Branches Turnover Rate ChartTurnover Rates by Format • Example • Chart = Turnover Rates By Format. • Formats = All Formats. Higher percentages indicate a faster turnover rate.
New Patron Registrations • From the 'Reports' tab, select 'View New Patron Registrations'. • Click the select box for 'Chart'. Then select which data to view. • View New Patrons by Day or Month. • Consortia: Select which branches to include. • Select a Start Date and End Date. Use the Calendar to select, or enter a date in m/d/yyyy format. • Select a Sort Order. Purpose: Track number of patrons new to your service. View by the date each first logged into your OverDrive Digital Library.
New Patron Registrations New Patrons By Day • Example • Chart = New Patrons By Day. Your Library Branches 14 new patrons logged in on 2/1/2007 and 2/12/2007.
Your Library Branches New Patron Registrations New Patrons By Month • Example • Chart = New Patrons By Month. Best Practice: Boost promotion when numbers of new patrons begin to decline. • Press releases. • Events. • Give-aways. • Print materials. • Web graphics. • Training.
Title Statistics • From the 'Reports' tab, select 'View Title Statistics'. • Click the select box for 'Chart'. Then select which data to view. • View Checkouts by Title, Format, or Subject. • View Waiting List by Title, Format, or Subject. • Enter 'Number of results' desired. For example, enter '10' to view the top ten circulating titles. • Select a Start Date and End Date. Use the Calendar to select, or enter a date in m/d/yyyy format. Purpose: View statistics for top checkouts and waitlisted titles, formats, and subjects.
Title Statistics Top Checkouts by Subject • Example • Chart = Checkouts by Subject. • Number of results = 100. • Analysis: Top five subject areas for this library include Fiction, Romance, Nonfiction, Mystery, and Suspense.
Title Statistics Waiting List by Subject • Example • Chart = Waiting List by Subject. • Number of results = 100. • Analysis: Top waitlisted subject areas for this library include Fiction, Romance, Nonfiction, Mystery, Suspense, and Historical Fiction. • Best practices: • Purchase additional titles in popular subject areas. • Boost promotion for less popular subject areas.
Patron Activity Chart • From the 'Reports' tab, select 'View Patron Activity Charts'. • Click the select box for 'Chart'. Then select which data to view. • View Checkouts by Day or Month. • View Waiting List by Title, Format, or Subject. • Consortia: Select which branches to include. • Select a Start Date and End Date. Use the Calendar to select, or enter a date in m/d/yyyy format. • Select a Sort Order. Purpose: View patron download and borrowing activity.
Patron Activity ChartCheckouts by Month • Example • Chart = Checkouts by Month. Analysis: These results display the number of unique (or individual) patrons downloading titles each month over a six month period.
Your Library Branches Current Waiting List • From the 'Reports' tab, select 'View Current Waiting List'. • Consortia: Select which branches to include. • Select a Sort Order. Purpose: View titles currently on your patrons' waiting lists.
Your Library Branches Current Waiting List • Analysis: This chart is sorted on 'Holds' so that titles with the most holds appear at the top. • With 10 holds on a title and a 21 day lending period patrons could be waiting 7 months for a hold. • Consider purchasing additional copies of these titles. • You may also want to run 'View Waiting List History'. • Example • Current Waiting List.
Waiting List History • From the 'Reports' tab, select 'View Waiting List History'. • Click the select box for 'Chart'. Then select which data to view. • View Waiting List by Day, Month, Publisher, Format, Title, or Subject. • Consortia may also select 'View Waiting List by Branch'. • Consortia: Select branches to include. • Select Formats to include. • Select a Start Date and End Date. Use the Calendar to select, or enter a date in m/d/yyyy format. • Select a Sort Order. Purpose: View titles that have been on your patrons' waiting lists during a specific time period.
Your Library Branches Waiting List HistoryWaiting List By Title • Analysis: This chart is sorted on the 'Holds' column so that the titles with the most holds over time appear at the top. • Best Practice: Consider purchasing additional copies of waitlisted titles which are popular over a period of months. • Example • Chart = Waiting List by Title. • Formats = All Formats.
Search Checkouts • From the 'Reports' tab, select 'Search Checkouts'. • Enter information to search on: • Library Card Number. • Title. • Checkout ID. Purpose: Search and view active patron checkouts by library card number, title, or checkout ID.
Search CheckoutsSearch by Library Card • Example • Chart = Search by Library Card Number (NO SPACES). • This chart from 'Search Checkouts' shows all titles currently checked out to a particular library card. • Click 'View' to open a detail page for any record.
Reactivate a Download • A borrower might report: • A missing download button. • A download error. • Why does this happen? • Adobe eBooks: A license can be downloaded one time during a single lending period. • OverDrive Video: A license can be downloaded two times during a single lending period. • OverDrive Audio Titles: A license can be downloaded three times during a single lending period. • A license for a checked out title is downloaded when a borrower clicks the download button.
