Goals & Objectives • What is Bid Match? • Bid Match philosophy and who can benefit! • How to create a Bid Match Search Profile in WebCATS • Types of Bid Matches the client can expect to receive
What is Bid Match? • Bid Match allows WebCATS users to create search profiles that are individually designed for each client and that describe the client’s business using keywords • A Bid Match tab is exposed in WebCATS where the search profile is created • Profiles are stored on the system and matched each day to the new bid opportunities gathered by WebCATS • Only centers with a Bid Match mailbox can create search profiles
Bid Match Philosophy • Provide clients with new government contract opportunities that help them grow their business and remain strong but don’t provide them with more than they can handle! • Small businesses don’t have the resources to navigate through dozens of bid opportunities each day so it is important to tailor the Bid Match process to their individual capabilities • OutreachSystems offers a sophisticated search engine that employ full Boolean logic to help pin-point the right bid matches for individual clients in the database
Who can Benefit? • Any client, who is in-business and who has a product or service that the government buys, benefits from Bid Match. • What does the government buys? Anything and everything, from: • Janitorial services • Uniforms • Automobiles • Construction • To see the current bids available, please visit: http://www.outreachsystems.com/isearch and use the guest login: • ssguest/ssguest
Step 1: E-mail Address and Format • There are five basic steps to creating a search profile. The first step determines the client’s e-mail address to be used for the bid match delivery and determines the format in which the client wants to receive the bid matches: • HTML e-mail format • Web mail format
Step 1: E-mail Address and Format • Web Mail is the most popular bid match delivery format • Clients set up to receive their bid matches via Web Mail will receive an e-mail message with a link to a private Web site on mybidmatch.com. The Web site: • Is automatically created for the client as soon as the profile is set up • Does not require a username/password • Lists their bid leads from the last 30 days
Step 1: E-mail Address and Format • One added benefit to the Web Mail option is that the bid match center is provided with a master view of all clients receiving bids via Web Mail • This master view is easily accessible from your center record in WebCATS (click on the URL found in the Master Index for mybidmatch.com field). To view your center record, click on your center name from anywhere within WebCATS
Step 2: Data Sources • OutreachSystems gathers three different types of data sources: • Federal bid opportunities • State and Local bid opportunities from hundreds of sites: • www.outreachsystems.com/usabid • Foreign Trade Opportunities
Step 2: Data Sources • On average, OutreachSystems gathers 3500 bids daily from all the data sources combined, every day of the week (Yes, the bid match process is run 7 days per week!) • The approximate daily breakdown is as follows: • Federal Opportunities: 70% of all bid leads offered • State and Local: 20% of all bid leads offered • International opportunities: 10% of all bid leads offered
Step 3 and 4: FSG and State Limitations • The third and fourth steps let you narrow a client’s bid match profile to certain federal supply groups and/or geographic areas • It is important to eliminate as many unwanted bids as possible so as to keep the clients engaged and ensure success
Step 5: Keywords and/or Key-phrases • Each keyword or key-phrase will be its own searchstatement in the bid match profile and all profiles must contain at least one search statement
Step 5: Keywords and/or Key-phrases • The best search terms are phrases that describe the client’s product or service • OutreachSystems offers Sample Search Profiles at the OutreachSystems’ Web site: • http://www.outreachsystems.com/cats/bidmatch/profiles/ • WebCATS users don’t need to have any technical training on setting up search profiles, OutreachSystems adds the search to every profile but it is important to describe the client’s business and their capabilities with as many keywords as possible Quick-click resource for sample search profiles http://www.outreachsystems.com/cats/bidmatch/profiles
