  2. To Begin • Click No Space • Change the size to 12 point • Change the style to Times New Roman • If you do not do this, you will lose points!

  3. What is it? • Written by an individual • To deal with business of a personal nature • From a Person to a Business

  4. Block Format • All parts begin at left margin • Paragraphs are not indented

  5. Margins • Top margin = about 2 inches (2.1”) • Left and right margins = 1 inch • Bottom margin = 1 inch

  6. Changing Margins • Top margin = enter six times • Side margins = are set to 1” already

  7. Header/Footer • Insert • Footer • Blank • Type name on bottom of page • Click Close Header and Footer

  8. Parts of a PB Letter • Return Address (your address) – type on 1st line • a line for the street address • and one for the city, state, and ZIP Code

  9. More parts • After address – on the very next line • Type the current date • Always type out the full month, day, and year • Example: March 20, 2007

  10. More Parts • Enter 4 times after date (QS) - Letter mailing address – (who sending to) • A personal title (Miss, Mr., Mrs., Ms.) • Person’s full address

  11. More Parts • Enter two times (DS) after mailing address • Type the Salutation (greeting) • Example: Dear Ms. Dillon

  12. Parts • Enter twice after salutation • Begin the letter body (message) • Single space the paragraphs • Double space between them • Do not indent the paragraphs

  13. More Parts • Enter twice after typing the body • Complimentary close • Example: Sincerely

  14. More Parts • Enter 4 times (QS) after the complimentary close • Type the name of the writer • If the person has a title, type that on the line below their name • Example: Ms. Dillon Business Teacher

  15. Special Parts • Enter twice (DS) after the name of the writer • Type your reference initials • Typed in lower case • Example: rd • Type if your name is not listed as the name of the writer

  16. More Special Parts • Enter twice (DS) after the reference initials • Type Enclosure (only if necessary) • If something is included with the letter, the word Enclosure is written to indicate this

  17. Punctuation • Two types: Open or Mixed • Occurs at salutation and complimentary close

  18. Punctuation • Open has no punctuation after either part • Mixed has a colon at the salutation and a comma at the complimentary close
