Aims of the session • Give you a good understanding of how to submit pay claims. • Validate 30 hour eligibility codes. • Navigate around the system. • Show you how to get a complete breakdown of funding – by provider/individual child.
Funding arrangements • Two payment runs per term. • Estimate payments - 75% of three and four year old claims will be paid at this stage and 100% of two year olds. • Actual payments are processed part way through the term; the remaining 25% of three and four year olds will be paid along with claims for any new children.
Disability Access Fund (DAF) • The Disability Access Fund of £615 is payable as a lump sum once a year per eligible child. • If the child accesses more than one provider, the parent will need to nominate the setting to receive the DAF payment. • Three and four year olds will be eligible if: • The child is in receipt of disability living allowance. • The child receives free early education. • Funding is claimed via the synergy provider portal and payment made up receipt of eligibility i.e. a copy of the DLA letter

Recap • Estimate hours are calculated based on the weekly hours children attend. • Unsure if estimate claim has been submitted? – just check the terms summary tab on the provider portal. • Rolled over children’s hours are reset to zero. Hours must be resubmitted by actuals submission deadline. • The provider portal provides a complete breakdown of how a child is funded. • Adjustment payment details are now visible to providers.
Recap (Cont.) • To support providers in managing 30 hours the eligibility code start, end and grace period dates are shown. • Any child in the 30 hour grace period will show against the record. • A parent cannot take up a 30 hour place if they are in their grace period i.e. the end date has lapsed and parent has not reconfirmed eligibility. • For a parent to take up 30 hours free childcare the must have received their eligibility code prior to the start of term.
Recap (Cont.) • A child cannot take up a 30 hour place until the term after their 3rd birthday. • If a parent wishes to take up a place mid-term, providers MUST phone the Free Entitlement Team to check if funding is committed elsewhere. • New 2 Year old children need to be added onto the provider portal via the ‘Enter EY voucher’ tab. • Use the ‘sign out’ facility to log out of the provider portal – this will activate any updates that have been made to the system.
