Cost Savings by Utilising a Centralised Print Solution Presented by Mathew Hope & Matthew Broderick
Why we chose to centralise printing • Principal encouraged departments to find ways in which to save money • Recognised the amount of money that was being spent on printing (toner, hardware, staff time) • IT department looked into ways in which to save money through reducing print costs.
Printers - prior installation Prior to installing a centralised print solution the College had a variety of desktop printers and a selection of photocopiers
Printers - post installation After installing a centralised print solution the number of printers is dramatically less
Benefits of Centralised Printing • Cost Saving • Reducing Energy • Gain information about who is printing & when • Reduce waste • Space saving in classrooms and offices • Full colour printing College wide • Increased redundancy when printers go faulty as staff are able to print to any of the new printers
Cost Saving • Toner costs reduced • Toner costs are included in lease price of Océ devices • Fixed price per page • Maintenance • Reduction in hours spent by IT department replacing toner and maintaining faulty desktop printers • Less devices = less toner to replace • Océ service are responsible for any maintenance that needs be carried out on their devices • Energy
Energy Saving The below tables show an estimate of the amount of energy that has been saved since the installation of the centralised print solution *The figures shown are based on the printers being in stand by or power save mode Producing a saving of over 50% power usage while printers are in stand by
PCounter – the benefits • Enable finance to charge for printing per department • Follow me printing • Monitor printing on per department or per user basis
Issues we encountered • Finding suitable locations for the multipurpose printers • Locating printers where there is sufficient space and in a suitable location to give access to staff and students • Changing the way staff print • No printer on office desk • Advised to pick print jobs off as they walk pass printers rather than making special journeys
