How to Change Residency via Colleague Updated November 11, 2009
After logging into Colleague, select an application. Select ST for the Student System from the apps menu. Type RGPE (Registration and Person Entry screen) in the Quick Access box. Then click the go button . A person look up screen will appear.
Click on the arrows next to the Residency Status/ Date (RES STATUS/DATE). To get to the next available blank line. Do not key over any other line to change residency unless correcting a status of a new student who has not begun classes. A button will appear. Type … to get a list or type in THE NEW Residency Status. There are only 3 choices…PGCO, OUTCO, and OUTST.
USING DATES IN COLLEAGUE Colleague will default today’s date if nothing is entered in the date field, which is fine for newly admitted students who have not yet begun classes. But, the effective date of a residency change for a currently enrolled student is the first day of the next available semester, once the census date has passed for the current semester.
Type a start date or click the calendar to select a date. Make sure to enter the effective date.If not, the student will receive an incorrect bill.
The Census date is the end of the 3rd week of classes for fall and spring and the end of the first week of classes for the summer.
The same applies for Student Types (STU TYPES) regarding rates i.e. Standard Rates. The only other option you should ever use besides STAND (standard rates) is HMSP (Health Manpower Shortage) for students admitted as petitioners for Nursing (all programs), Radiography, Respiratory therapy, Health Information Management, and the EMT programs. Do not use any of the other choices in the dropdown for Student Type.
UPDATING IN COLLEAGUE Do not type over the first line in order to change the residency status. Always select the next available line to record the new status. USING DATES IN COLLEAGUE Colleague updates effective dates every night. Therefore, if you would like a change to be effective for today’s date, you must back date by one day i.e. 06/10/09 for a change to be effective for 06/11/09. This should be used only if a student wishes to register the same day you are making the change.
