Budget situation and arrangements • Financial objective : avoid any further contrary arbitration and budget diminution • Follow EU rules for justification • A) read the guide, the contract and the annexes • B) build a network of administrative officers (english speaking) in charge of follow up • C) always fully justify the costs you have indicated for each year • D) write every month the personnel expenses (time sheets) • E) those who have durable goods, present the original bill and percentage of utilisation of the machine for the project • F) conserve all original bills, flight tickets and coupons, hotels etc.

Budget situation and arrangements 1.1 The annual interim technical activity reports The annual interim technical activity reports shall include: - a summary of the main achievements (maximum 5 pages); - a detailed account of the activities with respect to the objectives and the established work plan (50 pages); - a detailed comparison of the expected and achieved deliverables (not exceeding 10 pages); - an annex, if relevant, containing a set of slides/colour photographs/electronic images illustrating the main activities • 1.2 The annual interim financial statements • - the annual interim financial statement for the relevant period presenting, following the structure of the estimated budget (see Annex II a), the eligible cost actually incurred and paid. • This statement shall: • - be drawn up individually for each participants • - contain a consolidated version for all participants (INRA) • the external audit reports • an update of the action’s budget established in the Annex II of the Grant Agreement (INRA) • • Each beneficiary shall complete the forms 1-12 and 13, • • Each organization located outside the EU shall complete the forms 7-12 and 14. December !

  10. Budget situation and arrangements • - Inform INRA of any difficulty • - Ask questions before taking important decisions • - Inform INRA of any change in partner name or situation Inform and make publicity to the project locally and (non-EU partners) seek for national or regional support

  11. No advance payment : overcoming possible treasury problems • - No payment will be done before the first annual reporting (financial and scientific) • - The first annual reporting must be in time (January 2008) and correct • - In case of problems inform INRA
