Purpose of Computer Systems • There are three basic programs: • Information Reporting Information System (IRIS) • Residence Life Administration (RLA) • C*CURE (a play on the word “secure”) • We use these programs for check-ins, check-outs, key tracking, student housing records, incident report tracking, sanction tracking, door access, door monitoring, and searching for information on the students. • These programs will be described in detail at a later time.
Accessing the RLA & IRIS • For RLA and IRIS, enter the “Staff Zone” page: (www.utexas.edu/student/housing/staff/) • Click Web Applications from the left menu. • Choose the appropriate program
Accessing CCURE • CCURE is not an online program. Therefore, it is only accessible on approved desk and staff computers as necessary. • Once you find the icon to the program, double click on it and log in to start using the programs.
Identification • For all of the computer programs, identification information is needed from the residents in order to pull up their record. In DHFS, we currently only ask for identification in two ways: • UT ID with picture • UT EID • Our computer systems track students by social security numbers. There are some forms that only accept social security numbers, but IRIS and RLA have an EID function that converts their EID into a social security number. Please refrain from asking someone for their student number when at all possible.
Identification • A student should provide their UT ID or UT EID for any desk function that requires recordkeeping. This includes things such as: • Checking in • Checking out • Key check-out • Equipment Check-Out • Lost and Found Retrieval • Package or Mail Pick-up
Identification • Residents frequently forget or lose their ID or key. In order to correctly identify someone, there are alternate methods of identification in the RLA system: • View Student Rec – this feature allows you to see their background and home information. You can use this to quiz them on things they should know, such as their home zip code, phone number, or birthday. Always ask for at least 2 of these items. • Hall Search Picture – this feature allows you to see their corresponding ID picture online. You can easily match their face with the picture online (not currently available as of 8/1/03).
Identification • Do not let a matching ID picture and face fool you! If a student asks for a key to “their room,” you absolutely must verify where the student lives BEFORE checking them out a key.
Logging Off • Never forget to log off when your shift is over! You are responsible for all editing (or incidents) that occur while you are logged in. • If you need edit a resident’s record but someone else is logged into the computer, you can either ask them to modify the record for you or log them off so you can log in. Never edit a student record under someone else’s logon!
