  4. Chair’s Aims 1. To attract more of our committees and grassroots members to optimise their U3A membership 2. To ensure YAHR is accessible to our U3As, their committees and membership for support, advice, and signposting

Activities Towards Achieving These Aims • Providing an Events Programme • Increasing Networking and Networks • Offer Guidelines and advice • Provide accessible information : YAHR Bulletins, website • Making personal contact, attending local U3As and events • Appraise venues we use across the Region • Record how many attend our events • By U3As • By numbers of delegates

  21. Why should Trustees have an Induction? • All committee members including those who are co-opted or invited to join are automatically trustees. However, new trustees are often unaware of this. • It reassures potential nominees/volunteers that they are not just going to be thrown in at the deep end. • It informs trustees before they begin the role that trustee liability insurance is in place. • It enables new trustees to familiarise themselves with the role, the organisation and their legal responsibilities. • It ensures a level of awareness and understanding of key policies/procedures.

  22. When should Induction take place? As soon as practicably possible after your AGM and certainly before the first full committee meeting.

  24. What should the Induction cover? Duties and responsibilities of Trustees: • ENSURE YOUR CHARITY IS CARRYING OUT ITS PURPOSES FOR THE PUBLIC BENEFIT • COMPLY WITH YOUR CHARITY’S GOVERNING DOCUMENT AND THE LAW • ACT IN YOUR CHARITY’S BEST INTERESTS • MANAGE YOUR CHARITY’S RESOURCES RESPONSIBLY • ACT WITH REASONABLE CARE AND SKILL • ENSURE YOUR CHARITY IS ACCOUNTABLE

  25. What should the Induction cover? Essential documents and information would be: • Guidance documents issued by the Charity Commission for U3As in England and Wales (The Essential Trustee) • A copy of the U3A constitution. • A copy of the relevant Declaration of Eligibility for a new trustee to sign which should be retained on file. • A copy of the Principles of the U3A Movement • The Third Age Principle • The Self-help Learning Principle • The Mutual Aid Principle • Information on the structure of the U3A Movement in the UK including the region and networks.

What should the Induction cover? • Minutes of previous committee meetings and AGMs/SGMs. • A copy of any relevant role description. • An overview on how different aspects of the U3A are organised e.g. interest groups, monthly meetings, social events etc. • A list of all existing interest groups and group convenors. • Key policy documents – trustee code of conduct, disciplinary code. • Latest annual report and accounts. • Information on such topics as insurance, data protection. • Dates of future committee meetings and AGMs.

  28. Trustee Code of Conduct What is it? A trustee code of conduct is an agreement between the organisation and the individual committee member which clarifies the standard of behaviour expected in the performance of their role. It includes: • Committee Meetings: preparation, attendance, conflict of interest • Power to make decisions • Confidentiality • Corporate responsibility
