  3. Objectives • Provide a high level system overview of the functionality from the recruiter and job seeker perspectives • Provide additional insight and information to assist with agency configuration input OLRS Implementation 2010

Scope of Implementation • Job posting, online job applications, applicant tracking, screening, requisition management, and reporting for state agencies • Implement the standard product to keep costs low and simplify future maintenance • No enhancements, automated data conversion, or interfaces with HRMS • Extensive online support and training for the recruiter community OLRS Implementation 2010

Project Timeline - Key Dates • Finalize business decisions (e.g., layoff, certification, vet preference) – March 31 • Configuration and initial testing – March 31 • Train-the-trainer Training April 13/14 and 15/16 • PayDay FYIs –May 10 and June 10 • Agency Recruiter training - May 3 thru June 18 • Supplemented with online training OLRS Implementation 2010

Project Timeline - Key Dates • Production labs (early entry for agencies) - June • Go live for job seekers - July • E-Recruiting decommissioning – July 16 at Noon • Closed to job seekers June 30 • Information available to agency recruiters thru July 16 • Information to support records requests available through DOP Central Administrator through retention period OLRS Implementation 2010

Online Demonstration • Recruiter / Analyst • Build requisition with a supplemental question • Create job posting • Create exam plan and job posting with supplemental questionnaire • Job Seeker • Login as a returning job seeker • Show job interest card • Search for a job • Apply for a job including responding to questionnaires and submitting materials OLRS Implementation 2010

  11. Online Demonstration • Recruiter • Perform activities • Show scoring • Create eligible and referral list • Provide certified candidates to Hiring Manager OLRS Implementation 2010

Project Team Initial Findings • System is responsive • Easy to configure (e.g., don’t need developers to create forms or reports) • Many standard reports as well as ad hoc reporting capability • Easy to export information to Excel • Great scoring potential/functionality • Additional features: “Community Center” • Access to online resources • Community of other recruiters in other states OLRS Implementation 2010

Project Team Initial Findings • Recruiters have the ability to format job postings (e.g., use of MS Word toolbar and spell check) • Postings appear on careers.wa.gov immediately • Recruiters can determine specified closing date and time • Job Seekers can create multiple profiles and add unlimited attachments • Job Seekers can be notified when jobs open via “Job Interest Card” feature OLRS Implementation 2010

Project Team Initial Findings • Scoring options are many, but may be less intuitive • Using standard system, configuration options limited • Applicants must contact a recruiter to withdraw • Tools will be created to assist with Veteran’s preference calculations • Not connected to HRMS, a process will be documented to assist employers with certification • Security • No way to protect standard templates (recruiter could inadvertently modify or archive) • All Recruiter/Analysts names appear on certain drop down menus OLRS Implementation 2010

Project Team - Next Steps • Review agency configuration input, finalize configuration decisions • Send out survey and analyze results • Determine attendees for train-the-trainer • Confirm training approach • Prepare training materials for train-the-trainer and recruiter training sessions OLRS Implementation 2010
